Job Description

What’s the role?
The role includes the responsibility for strengthening and developing the distribution and marketing function and overseeing the function delegated to entity in charge of the distribution via regular monitoring. Acting as a primary point of contact, understanding client needs and objectives, and collaborating with internal teams to deliver tailored solutions and excellent service. Prepare regular reporting to the Fund’s Board of Directors and AIFM Exco/Board where required as well as and escalate where necessary. The candidate will report to the Conducting Officer in charge of the Marketing function and will have the overall oversight responsibility for the client and therefore working in close collaboration with other CRM in charge of the relationship.

What you’ll be doing

  • Being the point of contact for clients by providing proactive assistance and advice on marketing services and enquiries
  • Manage fund registration and distribution service for clients both mainly AIFsLiaise with regulators, lawyers, clients and third-party service providers, where required
  • Ensure the adherence of delegates to applicable laws, rules and regulations governing Marketing and Distribution activities – through oversight of the marketing plan and the distribution network/channels of the managed UCITS and AIFs
  • To contribute to the distribution oversight team in its provision of oversight and marketing materials review activities (reviewing and commenting on marketing materials, drafting prospectus addendums, drafting pre-marketing notifications letters, filing with the regulators…)
  • Review documentation such as marketing communications (e.g. factsheets), prospectus, KIIDs, delegates’ policies and procedures, monitoring of Service Level Agreements with the distributors (and other 3rd party distribution partners)
  • Follow-up on any issues identified and escalate to Management, where required
  • Manage services and tasks around marketing documentation for clients mainly for AIFs
  • Ensure consistent, correct and timely delivery of services internally and externally
  • Support on the Initial and Ongoing Due Diligence on the Distributors and on-site visits, where required. Identify, assess operational risks and highlight findings/ recommendations (where relevant) in your due diligence report
  • Deliver distribution and marketing support services, such as market research and analyses, documentation review etc.
  • Deal with the administrative modalities around marketing documentation, being compliant with the regulations such as EU Cross-Border Distribution
  • Directive/Regulation and ESMA guidelines on marketing communications, ensuring high level of accuracy and respecting procedures as well as deadlines
  • Contribute to regular reports, maintain documentation, identify potential breaches and escalate, where required
  • Stay up to date with best practices and industry trends impacting distribution and marketing
  • Produce internal dashboards on oversight activities and prepare regular reporting to the Fund’s Board of Directors and AIFM Exco/Board where required
  • Actively contribute to new projects and products from a distribution and marketing perspective
  • Stay up to date with best practices and industry trends impacting distribution and marketing

Additional tasks in the Marketing team might also include duties such:

  • To participate to client commercial activity presenting AIFM role
  • To provide clients with support and understanding of the applicable local rules and requirements
  • Provide support in conducting initial and ongoing due diligence (including onsite visits) on service providers, outsourcing partners, funds and carry out quantitative and qualitative analysis.

The ideal background for this role:

  • Degree in Law or similar qualifications
  • Ideally 2+ years of experience in the fund industry and ideally in distribution/oversight function.
  • Team player with Independent critical thinking and analysis
  • Good understanding of the investment fund industry, AIFM and oversight requirements (as set forth in CSSF 18/698 and various ALFI guidelines), and management of funds
  • As a result of study and experience, have a comprehensive understanding of laws and regulations, technical knowledge of fund structures and a good understanding of local regulatory requirements.
  • Ability to work under pressure and meet deadlines in certain cases
  • A solution-driven attitude to problems
  • Fluency in English, with excellent written and oral communication skills, fluency in a second European language such as German or French would be an asset
  • Excellent interpersonal skills and the ability to communicate effectively with clients and colleagues at all levels
  • Strong commitment to providing excellent service

Role Location/Hybrid Schedule
This role is based in our Luxembourg office. Although the nature of most of the roles within Gen II cannot be classed as totally flexible, there is scope in some cases for a form of Agile Working. The different ways in which Agile Working can be undertaken is dependent on the demands and needs of the business, the office space available and the individual’s preferences and circumstances.
