Incumbents in this job perform a wide range of general and agency-specific office production tasks requiring strong keyboarding, data entry, word processing skills, and a working knowledge of well-established and pertinent terminology, rules, procedures, and computer software application programs. Incumbents type from transcription and draft copy, typically using a word processor to edit, merge, list, and otherwise produce typewritten materials.

Processes agency documents by reviewing for completeness, accuracy, and consistency with well-established agency policies and procedures. Provides the public and others with information and assistance to complete forms and applications; locates, researches, and assembles records and information. Files and retrieves documents in accordance with agency procedures.

This job is intended to perform routine office clerical production and support tasks. Other tasks may include but are not limited to opening and distributing incoming and outgoing mail; performing support duties related to job development, such as administer/conduct tests or examinations and/or evaluating results.

Key Responsibilities
Day-to-day responsibilities of this position:

  • Types and prepares reports or other written materials from source documents, transcription, etc.
  • Prepares and/or processes documents; reviews for accuracy and completeness; updates information and/or evaluates against policy; compares elements for consistency or logical relationships, etc.
  • Receives calls and/or greets visitors, takes and relays messages, responds to requests for information; provides information or directs caller/visitor to appropriate individual.
  • Maintains and/or creates files or record keeping systems. Sorts, labels, files and retrieves documents, or other materials.
  • Verifies data entry by comparing the source document against input data, utilizing automated verification system, using dual entry or other verification technique.

Qualifications
Minimum or "day-one" qualifications:

  • Is
    proficient in Microsoft Excel and other Microsoft Office applications (or equivalent,
    i.e. Google Workspace)
  • Is
    detail-oriented
  • Has
    good oral and written communication
  • Has
    clerical experience
  • Can
    multi-task
  • Can be
    flexible to assist with emergency coverage
