The Park Office Support I (PT) Secretary is an administrative position responsible for the efficient operation and management of workflow at the Environmental Education Center and Shuts Environmental Library.
Service to both internal and external customers is the focus of this position while data entry, filing and light bookkeeping are also part of the daily work.
REPORTING RELATIONSHIPS
This position reports directly to the Office Manager while working to provide administrative assistance to the Senior Naturalist, Park Naturalists, and other staff.
ESSENTIAL JOB FUNCTIONS
Processes facility reservations, program registrations, and memberships.
Completes invoices and confirmation letters for private group program reservations.
Answers phones and addresses public inquiries and complaints.
Performs procurement functions including generating purchase orders and vouchers.
Files facility reservations, program registrations, memberships, and other office paperwork.
Assists with operation of the Shuts Environmental Library.
Generates and reconciles daily cash and credit card deposits.
OTHER SPECIFIC TASKS OR DUTIES
Provides customer service to Shuts Library patrons, including inquiries, item check-out, processing fines, returning books to the shelves, and item check-in.
Prepares, sends, and receives email and postal mail.
Assists with special projects.
Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Must possess a High School or GED diploma. Advanced secretarial schooling or training is preferred.
Must have computer skills that include using email; Microsoft Office products such as Outlook, Excel, and Word; and navigating the internet.
Working knowledge of office equipment (facsimile, copier, printer, scanner, multi-line phone).
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledgeable of general business/secretarial practices.
Proficiency with a PC including Microsoft Office.
Comfortable with light bookkeeping and cash handling.
Effective written and oral communication skills.
Excellent customer service skills.
Ability to work with minimal supervision; self-motivated.
Ability to work in a fast-paced, multi-functioning environment.

Ability to sit for extended periods of time.
Ability to reach overhead and bend from the waist.
Lifting up to 40 lbs. to the waist.
Ability to perform repetitive motions (stapling, collating, stamping, etc.)
