Job/Position Description
Office Support Coordinator
Job Title: Office Support Coordinator Dept: Administration Reports To: Executive Director
Supervisory Responsibilities: Yes X No FLSA Status: Exempt X Non-Exempt
Perform administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
• High school diploma or its equivalent required
• Minimum of 1 year of office experience
• Ability to work with other employees and provide customer focused support for field agencies
• Ability to prioritize work responsibilities efficiently and consistently
• Familiar with Microsoft Outlook, Word, Excel, and computer literacy
• Organized work habits, ability to multi task with accuracy
• Ability to work independently and multi-task in fast paced environment
• EMR and/or healthcare experience a plus
ESSENTIAL DUTIES:
• Answer, screen and transfer inbound phone calls with effective customer service and professional skills
• Receive and direct visitors and clients
• General clerical duties including, but not limited, to photocopying, fax and mailing
• Maintain electronic and hard copy filing system
• Retrieve documents from filing system
• Handle requests for information and data
• Create new entries as needed
• Deliver via interoffice methods
• Communicate with internal staff
• Work with and support other team members
• Support staff in assigned project-based work
• Maintain confidentiality in all aspects of client, staff and agency information
• Provide high level of customer service and professionalism
• Abide by and demonstrate the company Mission and 12 Heart’s Desires through both behavior and job performance on a day-to-day basis
• Participate in all mandatory staff in-services and meetings
• Maintain compliance with internal annual education requirements (Heart to Heart University/Relias)
• Timely submission of all documentation
• Conduct all business activities in a professional and ethical manner
• Performance of other duties as required
WORKING CONDITIONS

While performing the duties of this job, the employee is regularly required to sit, talk, hear; use hands to finger, and handle controls. The employee frequently is required to reach with hands and arms. The employee is occasionally required to stand, walk, and stoop. Specific vision abilities required by this job include close vision and the ability to adjust focus.
