Key Responsibilities

We are seeking a reliable and detail-oriented Office Specialist II to join our office team. In this role, you will be responsible for sorting and scanning correspondence, performing data entry, and providing administrative support to internal and external customers. You will work closely with other departments to ensure efficient operations and excellent customer service. A strong attention to detail and a team-oriented attitude are essential.

Key Responsibilities:

  • Correspondence Management: Sort and scan incoming mail, emails, and other documents, ensuring all correspondence is processed accurately and in a timely manner.
  • Data Entry: Enter data into company systems or databases accurately, ensuring high-quality data management and record-keeping.
  • General Office Support: Perform general office duties such as filing, organizing documents, preparing reports, and handling administrative tasks as needed.
  • Customer Support: Provide prompt and professional support to internal and external customers, responding to inquiries and resolving issues when necessary.
  • Collaboration: Work closely with team members and collaborate with other departments to ensure smooth communication and workflow across the organization.
  • Team Assistance: Assist in the preparation of materials for meetings, assist with team projects, and support the office's daily operational needs.
  • Data Accuracy: Maintain a high level of accuracy and attention to detail in all tasks, ensuring the integrity of data and documents.
  • Inventory Management: Assist in the maintenance of office supplies and materials, ensuring that office equipment and resources are well-stocked and operational.
  • Document Management: Organize and maintain files, both physical and electronic, to ensure easy access to important documents.

Qualifications

Skills and Qualifications:

  • High school diploma or equivalent.
  • Previous experience in an office or administrative support role is a plus.
  • Strong attention to detail with the ability to maintain accuracy in data entry and document management.
  • Excellent organizational and time-management skills.
  • Proficiency in LibreOffice or similar software (Excel, Powerpoint, GoogleDrive, GoogleDocs, Adobe).
  • Familiarity with scanning, filing, and data management systems.
  • Strong communication skills to interact effectively with internal teams and external customers.
  • Ability to handle multiple tasks simultaneously and work in a fast-paced environment.
  • Ability to work well both independently and as part of a team.
  • Professional demeanor and customer-focused attitude.
