(Woodland Hills, Full-time, On-Site)

Fisher Phillips, a premier international labor, and employment law firm is seeking a skilled and experienced Office Services Specialist to join our Woodland Hills team. In this essential role, you will contribute to the seamless operation of our services, providing crucial support to our department in delivering exceptional client service and maintaining our commitment to excellence.

Key Responsibilities

This role demands strong organizational skills, attention to detail, and the ability to manage multiple responsibilities effectively. The Office Services Specialist ensures smooth office operations by managing various administrative, hospitality, and organizational tasks, including:

  • Handling document management, including copying, scanning, printing, binding, filing, and maintaining physical and electronic records.
  • Supporting records management functions, including coordinating records pickups, deliveries, and ensuring proper retention and retrieval procedures are followed.
  • Providing hospitality support by maintaining office spaces and supplies, ensuring conference rooms, kitchens, reception areas, and workspaces are clean, organized, and fully stocked.
  • Setting up conference rooms for meetings, including refreshments, audiovisual equipment, and guest accommodations, to ensure a professional client and visitor experience.
  • Assisting with office setups for new employees and facilitating smooth onboarding support.
  • Processing and distributing incoming and outgoing mail, faxes, and packages, including FedEx and USPS services.

Requirements

  • Minimum of 3 years of general office experience required; prior experience in a law firm, professional services, or corporate legal department is strongly preferred.
  • Demonstrated experience in hospitality services, records management, and filing systems.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), document management systems, and Adobe Acrobat Pro.
  • Familiarity with standard office equipment, including copiers, scanners, fax machines, and printers.
  • Ability to thrive in a high-volume reprographics environment, producing accurate and timely work based on written instructions.
  • Must be physically capable of lifting boxes and packages up to 50 pounds and able to walk, bend, kneel, stand, or sit for extended periods.

The hourly rate range for this position is $25.00 - $30.29 Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
