Responsible for office supplies, faxing, copying, scanning, mailing and
other document management duties relating to the facility operations in an office;
assist with hospitality functions; assist with file closing process; in some cases, will perform as back-up Court Runner and back-up Receptionist.
Purchase, receive, shelve and distribute office supplies.
Perform all duties related to the firm’s “file closing” process, including physically moving files from secretarial areas to file room; completing related closing forms; logging file numbers and storage locations into
database; placing files in boxes in storage.
Retrieve or arrange for the retrieval of stored files and deliver to
requesting party.
Assist with physical arrangements for receptions, parties, meetings, etc.
dealing with caterers, delivery personnel, etc.
Perform minor furniture and equipment repairs.
Assist in moving and rearranging of furniture and equipment.
Perform document management duties, such as copying, faxing, mailing
and deliveries within the Copy Center.
Back up Court Runner.
Back up Receptionist.
Supervision Received and/or Given:
The employee in this position is supervised by the Regional Office Manager. May also receive direction from an Office Services Supervisor.
Minimum Acceptable Qualifications:
High School Graduate.
Previous experience in a related occupation.
Must have good communication skills and ability to work well with staff,
attorneys, vendors, building personnel, contractors and the public.
Working Conditions:
This position requires strength and agility. Must be able to move heavy
items such as desks, file cabinets, file boxes and other equipment. Employee must be mobile, have the ability to bend, and ability to lift approximately 75 lbs. Must be able to walk and stand for extended periods of time in and under various weather conditions. Must be available to work overtime as needed.
