About the Role

As an Office Services Representative, you will play a key role in ensuring our office environment runs smoothly by delivering high-quality administrative, facilities, and reception services. You will be the first point of contact for employees, visitors, and service providers, helping to create a professional, efficient, and welcoming workplace experience.

What You Will Do

• Office Operations: Coordinate office supplies, equipment, inventory, and administrative support services to ensure efficient daily operations.
• Facilities Coordination: Act as the first point of contact for maintenance, cleaning, office infrastructure issues, and workplace improvements, collaborating with property management and service providers.
• Reception & Visitor Management: Welcome employees, customers, and visitors, manage access procedures, and provide a professional front-desk experience.
• Mail & Logistics: Manage incoming and outgoing mail, packages, courier services, and office deliveries following established procedures.
• Meeting & Workspace Support: Organize meeting rooms, coordinate audiovisual equipment, transportation arrangements, and workplace setups as needed.
• Employee Experience: Deliver facilities onboarding sessions and provide ongoing support to employees regarding workplace services and office-related needs.
• Event Coordination: Support the planning and execution of internal events (meetings, town halls,...).

Who You Are

• Degree in Business Administration, Hospitality, Office Management, or a related field, or equivalent professional experience.
• Previous experience in office administration, office management, reception, facilities coordination, or a similar service-oriented role.
• Basic to intermediate proficiency in Microsoft Office applications.
• Strong communication, organization, prioritization, time management, customer service mindset, proactivity, empathy, and ability to work effectively in a fast-paced environment.
• Fluency in Portuguese and a good working knowledge of English (minimum B2 level).

More About the Location

You will be part of a friendly, supportive and international office based in Lisbon, Parque das Nações. This full-time position requires full on-site presence to support office operations and employee services.
