Salary: $22.52 - $24.87, B22 Placement, According to the Office Professionals Work Agreement

Qualifications:

  • High School Diploma
  • Prefer a candidate who has the ability to:
    • Use technology including Google applications, registration and student information systems.
    • Provide outstanding customer service to staff, students and the general public.
    • Develop and maintain strong professional relationships with all constituents.
    • Organize and perform multiple tasks efficiently and accurately

Summary of Duties:

  • Provide general administrative support to building and building Administrator. Duties include but are not limited to:
    • Greets the public entering the building.
    • Directs the public and answers general questions regarding programming.
    • Answers departmental phones and directs callers to appropriate persons and/or provides general information, as appropriate.
    • Monitors and follows security procedures within the building as individuals come and go.
    • Checks absence and main line voice mailboxes
    • Schedule and make arrangements for building events or meetings
  • Processes and maintains student enrollments and registrations for Early Childhood programs.
    • Enters participant information into the registration system (Eleyo, Infinite Campus, spreadsheets)
    • Assists with Open House
    • Monitors class enrollments
    • Verifies data reports
    • Communicates with staff to clarify, verify or maintain accurate reporting.
  • Creates and maintains online class registration
    • Inputs class and financial information in the online registration system
    • Monitors and updates the online registration system based on registration numbers
    • Works with our online registration system to problem solve and update our system as needed
    • Works with program staff to run reports and update needed class information
  • Provides general office support for Early Childhood Program.
    • Maintains web pages, calendars, events and/or new posts.
    • Creates and sends eNews notifications throughout the year to participant families regarding upcoming events or program information.
    • Submits facility requests for staff for room scheduling and/or checkout
  • Performs office bookkeeping duties
    • Collects and prepares deposits for Early Childhood Programs.
    • Collects and enters tuition payments.
  • Processes employee absences
    • Locates and assigns substitute employees
    • Reassigns internal staff to cover absences if substitutes are unavailable
    • Enters and reconciles absences
    • Prints attendance report to validate payroll information
    • Assigns budget codes to payroll claim forms
    • Researches and clarifies payroll entries
    • Copies and distributes payroll data to designated departments
  • Performs other duties of a comparable level or type, as required.

Positions 1,020 hours or more per year are benefit eligible
