For Linklaters Warsaw, we are currently recruiting for the Office Operations Manager role.
About the Team
Join our local Operations team responsible for office and facilities management, workplace experience, supplier oversight, ESG, CSR and employee engagement initiatives. Collaborating with senior stakeholders in Warsaw, the Head of Operations Europe and wider Linklaters teams, the team supports strategic planning, service delivery, office projects and continuous improvement across the Warsaw office.
You will be responsible for:
Leading strategic office and facilities planning to support business growth and changing workplace needs
Overseeing reception services to ensure a professional, welcoming visitor experience that reflects the firm’s values and standards
Managing office setup, refurbishment and workplace improvement projects, including change management and operational readiness
Overseeing office maintenance, health, safety, security and business continuity planning with internal and external stakeholders
Improving workplace experience through employee feedback, ergonomics, modern workspace solutions and service enhancements
Managing suppliers, contracts, office services and related costs to ensure quality, value for money and alignment with firm standards
Driving local ESG and CSR initiatives, including environmental reporting and community partnerships
Planning and delivering employee events, including budgets, supplier negotiations, logistics and feedback follow-up
Leading, coaching and allocating work within the team, while acting as backup support for key office administration when needed
Apply if you:
Have at least 5 years of professional experience in a similar role within an international matrix environment
Bring proven people management experience, including setting objectives, managing performance and developing team members
Have experience delivering office openings, office redesigns or major refurbishment projects
Demonstrate strong stakeholder management skills and the ability to influence senior colleagues effectively
Show excellent organisation, attention to detail and the ability to manage multiple priorities in a fast-moving environment
Are confident using Microsoft desktop productivity tools, including Excel
Communicate fluently in English and Polish, both spoken and written
Bring experience in ESG-related initiatives, events management, supplier and contract management, and an understanding of ISO standards and certification processes
