Job Purpose

The Office Manager, Singapore reports to the Head of Research & Strategy, APAC, and is responsible for all administrative matters for the Singapore office, including general office management and executive support for the leadership team. The role holder ensures the efficient operation of the local office and associated business entities, working closely with colleagues across multiple functions and jurisdictions, as well as external service providers.

Role Responsibilities

Responsibilities and tasks include, but are not limited to:

-Independently plan and coordinate internal and external client meetings, anticipating logistical needs ahead of time

-Act as the primary point of contact for office matters, overseas visitors and inter-office communication, exercising sound judgement in resolving issues without escalation

-Take ownership of travel and hotel arrangements for the management team, proactively managing changes and last-minute requests

-Manage vendor relationships, including hotel corporate rates, travel agency accounts and office equipment, negotiating terms and driving cost efficiencies

-Drive the planning and execution of client events, corporate luncheons and company retreats, from concept through to delivery

-Lead corporate gifting initiatives during festive seasons and other special projects as required

-Support the onboarding of new employees, ensuring a smooth and welcoming experience

-Maintain office and pantry supplies, proactively anticipating needs before they arise

-Oversee office facility and equipment maintenance, coordinating promptly with vendors to resolve issues

-Coordinate timely payment of invoices

-Arrange local and overseas courier services as required

-Provide ad hoc support to finance and compliance teams on administrative matters as required

Job Requirements

· Education: Diploma in business administration, communications, human resources; or a high school diploma or equivalent.

· Experience: Minimum of 5 years of similar experience in office administration, management and executive support

· Skillset: Strong organisational and analytical skills, excellent verbal and written communication, and the ability to prioritise competing demands and manage complex scheduling with minimal oversight. Proficient in Microsoft Office software

· Personal Attributes: Highly self-motivated with a proactive, solutions-oriented approach; comfortable taking ownership of tasks without close supervision. Meticulous attention to detail, adaptable and resourceful under pressure, with efficient time management. Confident and polished in engaging senior stakeholders, able to build credibility and communicate effectively at all levels of an organisation.
