Office Manager/Medical Assistant – Santa Rosa Beach

ProHealth is seeking a motivated and dependable Office Manager/Medical Assistant to oversee the daily operations of our Santa Rosa Beach location. This is an excellent opportunity for someone who enjoys taking ownership of a workplace, building relationships within the community, and providing hands-on patient care.

This location primarily offers occupational health, laboratory, and testing services that do not require an onsite medical provider. The Office Manager will independently manage the day-to-day operation of the office while also performing phlebotomy, specimen collections, occupational testing, and administrative duties.

In addition to regular hourly pay, this position will offer opportunities to earn performance-based incentives.

Essential Duties and Responsibilities

Office Management

• Oversee the daily operations of the Santa Rosa Beach location.
• Open and close the office according to established procedures.
• Maintain a clean, organized, professional, and patient-ready environment.
• Manage office and medical supply inventory and communicate ordering needs.
• Monitor appointment flow and ensure patients receive timely, professional service.
• Maintain accurate records, reports, and patient documentation.
• Communicate operational concerns, patient issues, and business needs to leadership.
• Help identify opportunities to increase awareness and utilization of the location’s services.
• Build and maintain positive relationships with local employers, patients, and community partners.
• Coordinate scheduled occupational testing for local businesses.
• Ensure company policies, procedures, testing protocols, and confidentiality requirements are followed.
• Take ownership of the location’s organization, service quality, and overall performance.

Medical and Occupational Testing

• Welcome patients, complete check-in procedures, and verify patient and testing information.
• Perform blood draws and properly prepare specimens for processing.
• Collect urine and other specimens for drug testing according to applicable procedures.
• Conduct occupational testing, including breath alcohol testing and respirator fit testing, once appropriately trained and certified.
• Complete chain-of-custody forms and other testing documentation accurately.
• Scan and upload patient records according to company policies.
• Use office equipment, electronic systems, and computer programs accurately and efficiently.
• Travel to nearby businesses to perform scheduled onsite occupational testing when needed.
• Occasionally assist at other ProHealth locations based on staffing and business needs.
• Perform additional administrative, clinical, and operational duties as assigned.

Schedule

This is a part-time position based primarily at our Santa Rosa Beach location. Typical hours are Monday through Friday from 7:15 a.m. to 1:30 p.m.

Occasional early-morning, evening, weekend, holiday, or after-hours availability may be requested for scheduled occupational testing, post-accident testing, or other business needs. Advance notice will be provided whenever possible.

Compensation and Incentives

This position includes competitive hourly compensation and opportunities to earn additional performance-based incentives. Incentives may be based on location growth, operational performance, business development, and other established goals.

Travel

Occasional local travel within the Florida Panhandle may be required. Reliable transportation is necessary.

Qualifications

• High school diploma or equivalent required.
• Phlebotomy certification required.
• At least one year of experience in a medical office, clinic, laboratory, or occupational health setting preferred.
• Previous office management, leadership, or administrative experience preferred.
• Experience performing blood draws and specimen collections required.
• Medical Assistant certification preferred.
• Strong initiative and the ability to work independently without an onsite medical provider.
• Excellent customer service, communication, organization, and time-management skills.
• Ability to take ownership of office operations and resolve day-to-day problems.
• Strong attention to detail and commitment to accurate documentation.
• Basic computer skills required; electronic medical record experience is a plus.
• Professional and approachable when working with patients, coworkers, employers, and community contacts.
• Ability to obtain access to military installations.
• Must be authorized to work in the United States.
• Must successfully complete a background check and pre-employment drug screening.

Physical Requirements

• Ability to lift up to 20 pounds, with or without reasonable accommodation.
• Ability to stand, walk, bend, and sit at a desk for varying periods throughout the workday.

Requirements

QUALIFICATIONS:

• Education: Certified Phlebotomy Required and a high school diploma or its equivalent
• Experience: Minimum of one year experience in a medical office setting.
• Must be able to work outside of normal business hours (8am to 4pm) and on Saturdays.
• Must be US Citizen or otherwise authorized to work in the US.
• Must possess the ability to multi-task.
• Must possess basic computer skills. EMR experience a plus.
• Must pass a background check and pre-employment drug screen
• Must be able to obtain access to military bases.
• Have a strong commitment to excellence in patient care.
• Possess high ethical standards carrying out responsibilities with integrity, honesty and loyalty.
• Must be a critical thinker and problem solver.
• Excellent time management skills.
