About the role

As our organized and hands-on Office Manager and People Coordinator you will be responsible for the day-to-day running of our Amsterdam office, making sure facilities, supplies, and the daily working environment run smoothly for the whole team. Alongside this, you will take care of a set of core administrative HR tasks, acting as the first point of contact for colleagues on practical HR matters and supporting with contracts, absence administration, recruitment, and on- and offboarding.

This is a part-time role for 3 days (24 hours) per week, which can be structured as three full days or as two full days plus two half days, and a great fit for someone with several years of relevant experience who works independently and brings calm and overview to a fast-moving, informal scale-up environment.

You will report directly to our Chief Operating Officer.

Responsibilities

Office Management

• Be the go-to person for the day-to-day running of the office, ensuring a smooth and pleasant working environment for the team;
• Manage office supplies, groceries and other practical office needs, including related invoice handling;
• Manage relationships with office suppliers and service providers, such as the landlord and our mobile service provider;
• Organize team events, celebrations and other office moments;

People Administration and Support

• Be the first point of contact for employees on practical HR matters, including absence, policies and holiday entitlement, and ensure appropriate follow-up;
• Handle day-to-day HR administration, including contracts, addenda, employee changes, absence documentation and updating employee data in our systems;
• Handle holiday-hour administration, including adjustments following FTE changes, annual set-up in BambooHR, and communication about balances and entitlement;
• Support related finance administration, including travel expenses, invoice approvals, and monthly payroll and bonus processing;
• Support managers with practical HR-related questions;
• Support recruitment activities, including drafting and posting vacancies, screening candidates, conducting initial calls and interviews, and preparing offers;
• Coordinate the administrative and practical side of onboarding, including system set-up, welcome packages and onboarding presentation;
• Coordinate offboarding, including employee communication, pro-rata holiday calculations, and coordination with IT.
• Support managers with practical HR-related questions;
• Support related finance administration: including travel expenses, invoice approvals, monthly holiday hours and hourly wage overview, monthly payroll processing and annual bonus processing.

Requirements

• Minimum 3 years of relevant experience in HR administration, Office management, People Operations or a similar role;
• Excellent communication skills in both written and spoken English, Dutch is a plus;
• You are highly organized, proactive and hands-on;
• Comfortable working independently, while also partnering closely with managers and colleagues;
• You enjoy creating structure, maintaining an overview and taking ownership of HR & Office-related tasks;
• Experience with BambooHR and/or Tentoo (Nmbrs) is a plus;
• Available for 24 hours per week (3 days).
