About the role…

The Office Coordinator oversees all aspects of the Mexico office operations, cultivating an exceptional workplace experience, as well as ensuring an environment where employees can work safely, comfortably and productively.

What you’ll do…

  • Facilities & Building Management

    • Serve as primary liaison with Colony Spaces (office provider), promptly addressing and resolving any facilities issues, maintenance requests, or building-related concerns

    • Oversee health and safety compliance, including supporting fire safety procedures, first aid supplies, and emergency protocols.

    • Oversee meeting room bookings, ensuring spaces are properly equipped and maintained

    • Coordinate visitor access and registration through the Corporate Experience app.

    • Support the reception and internal distribution of packages received at Colony.

    Employee Experience & Culture

    • Foster a positive office culture by creating a welcoming, inclusive, and engaging workplace environment

    • Act as the main point of contact for employees and managers regarding office-related needs, queries, and requests

    • Conduct office tours for new hires, providing essential information about facilities, amenities, and office protocols

    • Gather and act on employee feedback to continuously enhance the office experience

    Office Services & Amenities

    • Manage the pantry replenishment vendor and identify employee preferences for snacks ensuring variety and catering to dietary preferences

    • Maintain office supply inventory and coordinate ordering of stationery, and other essentials

    • Coordinate with IT and the existing IT service provider regarding the delivery and handover of computer equipment to employees.

    Events & Engagement

    • Lead and support "PeopleMinder" initiatives by planning, coordinating, and executing in-office events, team-building activities, and celebrations

    • Organise social events, lunch-and-learns, and wellness activities that strengthen team connection and morale

    • Act as the day-to-day coordination point for the existing pantry and events service provider.

    • Coordinate service requests, schedules, deliveries, and event-related requirements with the provider.

    • Follow up on service quality and escalate issues when required.

    • Support the coordination of in-office events and pantry logistics execution, or event production.

    Vendor & Supplier Management

    • Manage relationships with external vendors and suppliers (office plants, SWAG merchandise, catering, etc.)

    • Negotiate contracts, monitor service quality, and ensure cost-effective procurement

    • Coordinate deliveries, installations, and regular service visits

    Visitor & Guest Management

    • Welcome and support office visitors ensuring a professional first impression

    • Coordinate visitor logistics including meeting room preparation, catering arrangements, and access passes

    • Manage hot-desking and workspace allocation for visiting employees from other offices

    Stakeholder Collaboration & Office Development

    • Work closely with senior leadership, HR, and other stakeholders to understand evolving business needs

    • Proactively identify opportunities to improve the office environment, space utilisation, and employee amenities

    • Support office expansion, reconfiguration, or relocation projects as needed

    Administrative & Operational Support

    • Manage office budget and track spend for office-related purchases

    • Manage requirements regarding Health Insurance and Flexible Retribution platforms/ invoicing

    • Maintain office documentation including vendor contracts, invoices, building policies, and operational procedures

    • Coordinate mail and package handling and courier services

    • Ensure compliance with company policies and local regulations

    • Coordinate new employee enrollments and required follow-ups for major medical expense insurance.

    • Coordinate the enrollment process and requests for food voucher cards (vales de despensa)

What you have...

  • 2+ years of experience in office management or similar administrative role

  • Proficiency in Google Workspace and spreadsheets

  • Budget management skills including expense tracking and vendor invoice processing

  • Basic understanding of health and safety regulations in office environments

  • Resourceful and adaptable, comfortable navigating ambiguity in a fast-paced environment

  • Excellent verbal and written communication skills in English and Spanish

  • Diplomatic and approachable demeanor with ability to build positive relationships at all levels

  • Highly organised and task orientated

  • Energetic and enthusiastic about creating exceptional workplace experiences

  • Team player who collaborates effectively while also working autonomously

This is a part time role, 20 hours er week (ideally 9am - 2pm Monday to Thursday)
