We move fast, debrief quickly, and expect you to own your output. This is a dynamic company, we value speed and decisiveness over process. You'll have the context you need to make good decisions, and the autonomy to make them.

About the role

This is the operational backbone of our Palo Alto office, with reach into our Brazil and Mexico teams. You'll make the physical environment run smoothly so everyone else can focus on building. You own facilities, vendors, supplies, visitor experience, new hire setup, events, and the small but important details that add up to a great culture.

What you'll do

  • Own day-to-day office operations: supplies, mail, facilities coordination, and vendor relationships for the Palo Alto office

  • Create a great visitor and candidate experience — first impressions matter for our brand and recruiting

  • Coordinate new hire setup: desk, equipment, access, welcome kits, and first-day logistics working with HR and IT

  • Plan and execute in-office and virtual team events, offsites, and culture moments for PA, Brazil, and Mexico teams

  • Support Brazil and Mexico office operations remotely: vendor coordination, ad-hoc logistics, and onboarding support for those teams

  • Manage office budget line items — track spend, flag variances, and keep Sandrine informed

  • Handle ad-hoc administrative tasks for leadership: travel booking, scheduling support, expense reports

  • Maintain a clean, stocked, and functional office environment that reflects our values

What we're looking for

  • 2+ years of office management, operations coordination, or executive assistant experience

  • Highly organized with strong attention to detail — you close loops and nothing falls through the cracks

  • Warm, proactive communicator — you anticipate needs before they're voiced

  • Comfortable working independently with minimal oversight; you figure things out

  • Experience managing vendors, facilities, or event logistics

  • Familiarity with tools like Google Workspace, Slack, and basic expense tracking

  • Interest in or exposure to startups — you like a dynamic, fast-moving environment

  • Based in Palo Alto or nearby; able to be in-office per schedule

Nice to have

  • Experience supporting multiple international offices or remote teams

  • Bilingual in English/Spanish or English/Portuguese

  • Background in fintech, regulated industries, or high-growth startups

  • Experience with PEO platforms (Rippling, Gusto, etc.) or HR / IT coordination tasks

    This role follows a hybrid model. We ask that you're in our Palo Alto office 2–3 days per week.
