Each office is independently owned and operated.


Position Summary

The Office Manager / Lead Scheduler oversees daily scheduling, staffing coordination, office operations, and communication between clients, caregivers, and office staff. This role requires strong leadership, multitasking, customer service, and problem-solving skills in a fast-paced home care environment.

Reports To: Administrator / Owner

Qualifications

  • College Degree Required

  • 2+ years of office management, scheduling, staffing, or healthcare coordination experience preferred

  • Home care or healthcare experience strongly REQUIRED

  • Strong communication, organizational, and leadership skills

  • Computer proficiency including scheduling software and Microsoft Office

  • Ability to work independently and manage multiple priorities

  • English fluency required

Responsibilities

Scheduling & Staffing

  • Coordinate caregiver schedules and ensure client shifts are staffed

  • Respond to call-offs, emergencies, and schedule changes

  • Minimize overtime, open shifts, and caregiver substitutions

  • Maintain strong caregiver-client matches

Office Operations

  • Oversee daily office workflow and administrative tasks

  • Maintain accurate employee and client records

  • Verify schedules, time records, and mileage

  • Assist with onboarding and staff training

Client & Caregiver Support

  • Serve as a point of contact for clients, families, and caregivers

  • Address client concerns professionally and promptly

  • Support caregiver communication, engagement, and retention

Compliance & Team Collaboration

  • Maintain confidentiality of employee and client information

  • Ensure compliance with company policies and regulatory standards

  • Work closely with operations, nursing, HR, and marketing teams

  • Participate in quality improvement activities and meetings

Physical Requirements

Primarily office-based work involving phone communication, scheduling systems, and interaction with clients and caregivers. Occasional after-hours responsiveness may be required for urgent staffing needs.
Compensation: $65,000.00 - $75,000.00 per year
