Job Description

Client and Sale Management

  • Assist clients in registration, bidding and buying process
  • Assist the CIN Department in Cataloguing, photography, condition reports as relevant.
  • Assist buyers with shipping and post sale requests as required
  • Work with consignors and shippers for shipment of their work to auctions from India

Process Implementation

  • Pro-active client information to be recorded and shared with Client Data Management based on regional knowledge, regional reviews, local media, relationship changes etc and oversee flow of this information to Client Strategy

Enhancing Christie’s brand

  • Work closely with the senior team of the India office to organize events, lectures and previews in Mumbai and other cities in India
  • Represent Christie’s at appropriate external art-related events, e.g., museum and gallery openings, auctions etc.

Administrative Responsibilities

  • Manage office administration and local financials with the accounts team
  • Manage Interns and the office assistant
  • Ensure functioning of all IT, security systems and hardware equipment
  • Co-ordination with local suppliers, expense management, maintenance of files
  • Renewal of Annual Maintenance Contracts, licenses, insurance, lease agreement for Mumbai office
  • Periodically checking INDIA Inbox and actioning as required
  • liaising with various external Teams including Compliance, Accountants, Auditors, Legal, Banks, Security
  • Oversee the Mumbai office and warehouse maintenance
  • Maintaining attendance, sexual harassment and wages registers.
  • Distributing Vendor contracts, Confidentiality Agreements as required
  • Coordinating all relevant paperwork for shipments, including authority letters, NOC letters, shipping invoices, etc.

Previews and Other Events

  • Confirm venues, costs and logistics for any events
  • Working closely with Specialist Dept. and the Marketing Department for the circulation of invites and distribution of catalogues as relevant
  • Work closely with the Specialist Dept. concerned for the setup of the event – planning the flow of events, speakers and other such details
  • Any additional logistics, creation of banners, posters, flowers, lot cards
  • Obtaining necessary licenses for events
  • Ensuring timely advances and settlements to vendors
  • Liaising with overseas offices and shippers for preview shipments in and out of India

Operations and Inventory Management

  • Stock updates of existing and stocks arriving in and out of Mumbai office
  • Receipts for outbound and inbound movement of property
  • Maintaining condition reports on arrival and departure of artworks

ASI

  • Follow up on pending ASI Transfers of Ownership and periodic follow up with the Registration Officer of the Concerned Circle
  • Maintaining Form IV register and updating with any movements of the antiquities and transfer of ownership
  • Monthly and Annual returns to be sent to ASI
  • ASI license renewal as required
  • Educational Requirement - Graduate or higher
  • Minimum work experience of three years with administrative responsibilities, should be a team worker
  • Knowledge of art is preferred, but not necessary
