Job Title: Office & HR Coordinator – Canada

Employment Type: Part-Time, approximately 24 hours per week

Location: Mississauga, Ontario

Function: Corporate HR Support

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Mississauga Office Operations: Serve as the primary on-site point of contact for Sitero's Mississauga office and oversee the day-to-day employee experience, office readiness, supplies, common areas, meeting rooms, vendors, deliveries, and general workplace needs.
  • Return-to-Office Coordination: Support administration of Sitero Canada's hybrid work model, including the Monday–Wednesday in-office cadence, employee communications, office attendance processes, and escalation of recurring attendance or scheduling concerns to Global HR.
  • Access & Security Administration: Support employee and visitor access, badging, guest management, and office access controls in accordance with Sitero's security, quality, and compliance requirements.
  • Employee HR Support: Serve as the first local point of contact for routine employee questions regarding HR policies, benefits, time off, payroll processes, workplace expectations, and HR programs, escalating complex matters to Global HR as appropriate.
  • Onboarding & Offboarding: Coordinate the local components of Canadian employee onboarding and offboarding, including office orientation, access/badging, equipment coordination, required documentation, employee introductions, and collection/return of company property.
  • HRIS & Employee Records: Support maintenance of accurate Canadian employee information and documentation within BambooHR and other applicable HR systems and ensure required documentation is appropriately maintained.
  • Payroll & Benefits Support: Assist Global HR with Canadian payroll and benefits administration by collecting employee changes, reviewing information for accuracy, responding to routine employee questions, and coordinating with Sitero's Canadian payroll/benefits providers as needed.
  • Employment Documentation: Assist with preparation and administration of employment agreements, amendments, policy acknowledgements, leave documentation, and other routine Canadian HR correspondence under the direction of Global HR.
  • Employee Experience & Culture: Coordinate local employee engagement activities, recognition initiatives, office events, town halls, celebrations, and other activities supporting Sitero's culture and #WeAreSITERO
  • Policy Administration: Help communicate and administer Canadian HR and workplace policies and ensure employees understand expectations related to hybrid work, attendance, working hours, leave, workplace conduct, and office procedures.
  • Recruitment & New Hire Support: Provide local support for Canadian recruiting activities when needed, including interview coordination, candidate scheduling, offer/onboarding administration, and preparation for new-hire start dates.
  • Health, Safety & Workplace Compliance: Support workplace health and safety requirements, required postings, office inspections, emergency procedures, incident documentation, and coordination of corrective actions as applicable.
  • Vendor & Facility Coordination: Liaise with building management and external vendors regarding maintenance, cleaning, security, repairs, supplies, and other office services.
  • HR Projects & Reporting: Assist Global HR with Canadian HR projects, employee communications, reporting, audits, data collection, and other operational initiatives as assigned.

EDUCATION AND EXPERIENCE REQUIRED:

  • Bachelors Degree Required
  • Hands-on HR generalist or specialist work required
  • Previous experience managing office-type scenarios where in-person management of a facility is required

Part Time, Permanent

COMMITMENTS:

  • Approximately 24 hours per week, one hour lunch, Monday – Wednesday. Additional hours as needed.
  • Willing to work in shifts as and when needed.
  • 3x per week Monday – Wednesday is in our Mississauga office
