A bit about the job

You’re our Head of Hellos and Office Manager, the first friendly face to greet our clients, visitors, and new joiners to make them feel welcome with a beverage and a conversation. You’ll have fingers on pulses, ears to the ground, a master task juggler and a whole bunch of other cliches, put simply, you’ll be proactive in getting things done around the place.

As Office Manager you have no real limits when it comes to supporting the day-to-day management of the Auckland office, ensuring everything works as it should and resolving it when it doesn’t. You’re the sidekick to our Workplace Experience & Communications Manager, helping our Senior Leadership Team and 200 office staff, to support the smooth running of cultural and client focused events, plans and general office vibes/needs.

As a high energy and collaborative person, you thrive on working autonomously and enjoy making office and shared spaces the very best workplace it can be.

Responsibilities include

  • Warmly welcome all people and own all Front of House responsibilities – greetings, refreshments, phone calls, catering, room bookings and other ad-hoc duties as required.
  • Organising and facilitating tasks such as office access, supplies, gifts and vouchers etc.
  • Key point contact for all staff with general/building queries and coordinating the right building security/manager/tradespeople to resolve in a timely manner.
  • Track and manage supplier relationships and contracts, improving and streamline processes and cost efficiencies where possible.
  • Assist with onboarding of new starters, creating new joiner packs, health & safety tours, organising induction etc.
  • Coordinate regular and ad hoc companywide events, including putting together presentations to be shared with all dentsu Aotearoa offices.
  • Reconcile Executive credit card expenses, approve/authorise supplier invoices.
  • Engage with culture committee and assist with organising internal events that continues to connect and elevate our workplace wellbeing for all staff.
  • Support the Workplace Experience & Communication Manager with problem solving, making things happen, and creating a supportive, productive and compliant workplace.

A bit about you

  • Excellent written and verbal communication skills with high attention to detail.
  • Organised, able to multi-task to a high level and not afraid to get stuck in to help make things happen.
  • Energetic, agile with a positive can-do attitude and growth mindset.
  • Naturally collaborative with a high level of emotional intelligence to support our staff and stakeholders with problem solving anything around the office.
  • Competent in using MS Office suite, in particular SharePoint, PowerPoint, Word, Excel, Outlook and MS Teams.
  • Proactive communicator, able to identify and resolve risks before they become issues.
  • Previous experience in Office Manager, Front of House, Reception, or a similar customer facing role.
