Title: Office Manager, Facilities

Location: Cork

Contract: Fulltime/Fixed Term

We are seeking a highly organised, detail-oriented, and collaborative person to join our team and oversee the maintenance and operation of our Arlo office. The successful candidate will have a strong service mindset, ensuring our office and remote work environments help us attract, support, and retain the best talent at Arlo.

The ideal candidate will be responsible for ensuring a safe, efficient, and comfortable working environment for employees while managing facility-related projects and vendor relationships.

In addition, they will play a key role in managing the day-to-day operations of the Arlo office, coordinating maintenance activities for the office, and implementing strategic initiatives to enhance facility performance.

This person will drive ‘Continuous Improvement’ initiatives, ensuring the office runs smoothly, constantly finding ways to improve our employee experience, while effectively managing our costs.

General Duties and Responsibilities

· Serve as the first point of contact for Facilities issues and ensure prompt, best in class service is maintained.

· Oversee and manage our outsourced contractors e.g. help with delivery of IT equipment for new employees and for office use.

· Vendor and Contractor Management: Select, contract, and manage relationships with third-party vendors and contractors.

· Complete and maintain Ergonomic Assessments for employees.

· Booking of hotel stays and coordination of trips for employees visiting the Cork office from other Arlo locations.

· General receptionist duties as needed.

· This list is not exhaustive.

Further responsibilities grouped into relevant ‘Project work’ that this employee would manage and work on.

Facility Maintenance:

· Develop and implement comprehensive maintenance programs to ensure the optimal functioning of all facilities, including heating ventilation and air conditioning (HVAC) systems, electrical, plumbing, and other critical infrastructure such as fire safety etc.

· Regularly inspect facilities at the office to identify and address maintenance needs promptly and ahead of time. This entails developing and maintaining standards for planned preventative maintenance and office upkeep.

· Collaborate with external vendors and contractors to perform routine maintenance, repairs, and renovations on an annual / biannual basis or as legally necessary.

Event Management

· Work closely with the Finance and Human Resource teams to ensure the Arlo brand is brought to life (e.g. helping build PPTs, sending communications broadly on updates to Cork office)

· Coordination and execution of onsite events such as booking lunches with local vendors, supporting visitors to Arlo office, making dinner/party reservations for Arlo teams if needed.

· Planning and scheduling of team building events to take place for the office. (e.g. diary invites, booking of meeting rooms, room set up, arranging gifts, ordering SWAG, etc.)

Health, Safety and Compliance:

· Enforce safety protocols and ensure compliance with relevant codes and regulations.

· Conduct regular safety inspections and address any identified issues promptly. (e/g. fire safety regulations)

· Implement and manage emergency response procedures, and Conduct safety training for staff and maintain safety records (e.g. ensuring First aid responder courses are up to date for relevant employees etc.)

· Collaborate with Arlo fire wardens to develop emergency response plans and coordinate drills to enhance preparedness. Act as the fire safety officer for the site.

· Ensure security and safety are prioritized in all aspects of daily building operations.

New Site/Office Planning and Utilization:

· Work closely with Arlo Leaders to help coordinate, manage and execute a full office relocation rollout for Arlo. This entails helping to secure and optimize a space for rent/lease to meet organizational needs efficiently.

· Develop and implement comprehensive space plans aligned with organizational goals and objectives.

· Coordinate the set up and lay out of new spaces.

· Collaborate with department heads to plan and implement workspace modifications as required. (i.e. understand space requirements and create layouts that support optimal workflow.

· Implement strategies to maximize the efficient use of space, taking into consideration current and future needs.

Budget Management:

· Develop and manage the facilities budget (including invoice management and PO’s) ensuring cost-effectiveness in all maintenance and improvement projects.

· Select, supervise, and manage workplace vendors. Work closely with vendors to maintain SLAs.

· Identify opportunities for cost savings without compromising on quality. Be able to negotiate contracts and service agreements to ensure cost-effectiveness.

Sustainability Initiatives:

· Implement environmentally friendly practices and energy-saving initiatives.

·Identify opportunities for sustainable improvements in facility operations.

Qualifications

· 4+ years of facilities experience

· Knowledge of Irish safety and environmental regulations.

· Proven experience as a Facilities Specialist or in a similar role.

· Advantageous if this candidate has previous experience of site relocations, or has been involved in the preparing, planning and execution of an office relocation.

· Ability to interact internally and externally with outside vendors, service providers, and to maintain positive relationships.

· A track record of working with and building relationships with external contractors

· Experience with Domestic and International shipping (Fedex)

· The ability to juggle multiple deadlines and projects, highly organized with analytical skills

· A working knowledge of building systems and maintenance (HVAC, fire life safety, lighting, electrical, electric car charging stations etc.)

· Strong written and verbal communication skills.

· The ability to thrive in a fast-paced workplace with rapidly changing priorities.

· A willingness to be self-directed, with a knack for solving problems and spotting inefficiencies.
