Job DetailsJob Location: Trietsch Memorial UMC - Flower Mound, TX 75028Trietsch Memorial United Methodist Church invites qualified applicants to apply for the Office Manager / Executive Assistant position. This role provides essential administrative, organizational, and executive support to ensure the effective day-to-day operations of the church. The Office Manager / Executive Assistant serves as the primary point of coordination for office functions while directly supporting the Senior Pastor through proactive calendar management, communication, and meeting support.
This position requires a high degree of professionalism, discretion, organization, and adaptability in a fast-paced ministry environment. As Office Manager, the role oversees office operations, supplies, procedures, volunteer coverage, facility coordination, and administrative systems, while partnering with Operations, IT, and HR to support efficient workflows and compliance. As Executive Assistant, the position serves as a trusted support to the Senior Pastor by managing schedules, correspondence, meetings, events, and special projects, ensuring thoughtful follow-through and clear communication across departments. This part-time, non-exempt position plays a vital role in supporting staff, volunteers, and the congregation through exceptional service and administrative excellence.
ESSENTIAL OFFICE MANAGER FUNCTIONS:
Oversees all office responsibilities including intercompany mail, outgoing mail, phone calls, filing, scheduling, and copies.
Monitors and maintains all office supplies and assists in developing and overseeing the administrative budget.
Coordinates, equips, and supervises volunteer/staff coverage for the front desk and main office.
Develops and implements office procedures to maximize communication and efficiency.
Coordinates with IT department on maintenance, rental, and purchase of office equipment.
Partners with HR to maintain office policies as necessary.
Assists operations, when necessary, with the scheduling of events and door lock/unlock schedules.
Assists in coordination of room setups/cleanup based on scheduled events.
Tracks Ministry Safe certification and background checks for Trietsch Staff. Sends training and background check links through Ministry safe for new and renewing staff/volunteers.
Prints badges for staff, volunteers, and vendors as needed.
Handles inquiries and bookings for outside group facility rentals.
ESSENTIAL EXECUTIVE ASSISTANT FUNCTIONS:
Works directly with Senior Pastor to support daily routines and responsibilities.
Coordinates meetings, appointments, deadlines, and travel arrangements.
Fields, prioritizes, and directs calls/voicemails/emails to the appropriate area for action or handles personally, when appropriate.
Attends meetings, takes notes of discussion, and prepares minutes/summaries. Initiates follow-up of any action items from meetings.
Handles printing, faxing, mailing, copying, and filing when requested.
Coordinates planning, details and execution of leadership and staff events, as needed.
Assists other departments and ministries when necessary.
Schedules appointments and takes walk-ins for notarizing documents for staff and congregation.
Completes additional duties as assigned by the Senior Pastor.
QualificationsMINIMUM QUALIFICATIONS:
Bachelor’s degree or equivalent work experience
Notary Public, preferred
Proficient computer skills specifically in Microsoft Office, Fellowship One and Espace, preferred
PHYSICAL DEMANDS:
Frequent:  Sitting, Standing, Walking, Fine Manipulation and Driving
