Job Description

Nemours is seeking an Office Manager – Nemours Cardiac Center Administrative Office, Wilmington, DE.

Primary Functions:

This position will provide office management and leadership to the administrative support staff of the Nemours CardiacCenter. The Office Manager will be responsible for supervising, managing and coordinating the duties, activities and work flow of the administrative support staff.The Office Manager will implement and monitor activities as appropriate and consistent with the goals of the Nemours Foundation.

In addition, the Office Manager will provide administrative support to medical professionals within the Cardiac Center.This support includes organizing and executing the directives for these medical professionals and requires complex and independent decision-making skills.High performance is required to ensure all of the cardiac areas noted above are performed at a high level of efficiency and effectiveness.

Essential Functions:

  • Design, implement, monitor and modify business systems and office operations within the Cardiac Center.
  • Recruit, interview, recommend hires, train and orient new Nemours Cardiac Center Administrative Office support staff. Facilitate support staff daily activities and workload. Conduct administrative staff daily huddle and annual performance evaluations for the support staff.
  • Maintain payroll and time record responsibilities for the Nemours Cardiac Center support staff, nurse practitioners, physician assistants, clinical supervisors & managers and administrative personnel.
  • Conduct and assess support staff huddles and monthly staff meetings. Oversee support staff continuous improvement initiatives and completion of action items.
  • Provide administrative support to the medical professionals within the Nemours Cardiac Center. Support includes organizing and executing the directives for these medical professionals with a high performance level of efficiency and effectiveness. Coordinate administrative and departmental meetings. Maintain accuracy of calendars for the medical professionals. Coordinate and complete travel arrangements. Process expense reimbursements reflecting adherence to center budge codes and policies.
  • Provide secondary administrative support to the Nemours Cardiac Center Director, Co-Director and cardiothoracic surgeons.
  • Create presentations, reports, and instructional material for internal and external audiences for conferences and meetings.
  • Act as a resource preceptor for cardiac case scheduling. These procedures include cardiac catheterization, electrophysiology studies, MRI, other diagnostic or interventional imaging, echocardiography and non-cardiac surgery.
  • Coordinate and complete travel arrangements (air / train, hotel, and car service) for out-of-town candidates or visitors and prepare interview itineraries. Manage the interviewing process between physicians / management and new hire candidates

Requirements:

Associate Degree required

Bachelor’s Degree preferred

Must be able to multi-task, work independently, prioritize, have excellent time management

More than 5 years of job related experience required
