The Office Manager / Executive Assistant is responsible for overseeing daily administrative operations within the warehouse office while providing high-level executive support to site leadership. This role serves as a key liaison between warehouse operations, corporate functions, vendors, customers, and employees, ensuring efficient communication, organization, and business support. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced distribution or warehouse environment.
RESPONSIBILITIES
Executive Support
Provide comprehensive administrative support to Warehouse Director, Vice President, HDLC Cold Plates, Site Leadership Team.
Manage calendars, schedules, appointments, and meeting coordination.
Prepare reports, presentations, correspondence, and operational summaries.
Coordinate travel arrangements, expense reports, and executive communications.
Maintain confidential business and employee information.
Office Management
Oversee daily office operations and administrative processes.
Manage office supplies, equipment, and vendor relationships.
Ensure accurate filing and record-keeping systems for operational and compliance documents.
Coordinate office maintenance and facility-related requests.
Support budget tracking, invoice processing, and expense management.
Human Resources & Employ
Coordinate employee engagement events, training sessions, and recognition programs.
Assist with timekeeping, payroll submissions, and employee communications.
Ensure compliance with company policies and labor regulations.
Communication & Coordination
Serve as a primary point of contact for visitors, vendors, and internal stakeholders.
Coordinate meetings, town halls, and operational reviews.
Prepare meeting agendas, take minutes, and track action items.
Foster effective communication between warehouse operations and corporate departments.
QUALIFICATIONS
High school diploma or equivalent required
3+ years of experience in office management, executive administration, or warehouse administration.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
Strong organizational, time management, and multitasking skills.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and exercise sound judgment.
Experience working in a warehouse, distribution, manufacturing, or logistics environment preferred.
