The Office Manager provides high-level administrative, operational, and coordination support to the Country Lead, ensuring smooth day-to-day execution of business priorities. This role acts as a central point of coordination across leadership, clients, and internal teams, managing calendars, travel, visits, reporting, and communications with precision and discretion. The Office Manager plays a key role in enabling executive effectiveness, supporting business growth activities, and maintaining strong organizational alignment across the country operation.
Key Responsibilities:
Calendar & Priority Management
Manage and optimize the country lead’s calendar, meetings, and appointments, ensuring alignment with business priorities, travel schedules, and stakeholder availability.
Proactively resolve scheduling conflicts and adjust plans as priorities evolve.
Executive & Administrative Support
Maintain accurate and well-organized administrative records, including expense reports, documentation, travel files, and client visit records.
Prepare meeting agendas, presentations, and briefing materials in advance of executive meetings and visits.
Travel, Visa & Visit Coordination
Coordinate domestic and international travel, visa processes, accommodations, and on-ground logistics.
Support executive and client visits by managing schedules, documentation, and visit readiness.
Client & Stakeholder Engagement Support
Track and coordinate executive and client visits, ensuring all materials, presentations, and follow-ups are completed on time.
Conduct proactive background and profile checks ahead of key meetings, client engagements, and social events.
Project, Sales & Business Support
Provide support for new business initiatives, sales visits, and solution-related activities.
Plan and organize DOO meetings, staff meetings, and leadership sessions; track actions, decisions, and follow-ups.
Out-of-Office & Coverage Management
Manage out-of-office communications for the country lead.
Reschedule meetings with urgency during absences and ensure continuity with internal teams and stakeholders.
Team Availability & Leave Tracking
Monitor leave schedules and availability for the country leadership team to support business planning, client engagements, and executive coverage.
Marketing, PR & Communications Coordination
Partner with marketing and communications teams to support PR activities and social communications related to the country leader.
Documentation, Reporting & Metrics
Organize, maintain, and update strategy decks, mission documentation, and country-level financial or operational views.
Develop and deliver daily or periodic reports and dashboards with key metrics for the country lead.
Skills & Qualifications
Strong organizational skills with the ability to manage multiple priorities simultaneously
English Proficiency (B2+/C1)
Proficiency in Excel and PowerPoint is a must
High attention to detail with a proactive, solution-oriented mindset
Excellent communication, presentation, and interpersonal skills
Strong numerical aptitude and confidence working with reports and metrics
Ability to coordinate effectively across functions and senior stakeholders
Experience in executive support, travel and visa coordination, and reporting
Professional presence, willing and able to work from the office and travel as required (including Luxor and Giza)
