Office Manager

San Francisco, CA
Full-Time | Exempt | On-site (5 days/week)
$85,000–$120,000 DOE

Our client, a confidential mid-sized AEC firm in San Francisco, is seeking an experienced Office Manager to oversee the day-to-day operations and business administration of its office.

This is a highly visible, standalone role responsible for both the hands-on work of keeping the office running smoothly and the higher-level operational responsibilities that support the business. The ideal candidate is comfortable working independently, exercising sound judgment, and serving as the professional face of the office for clients, consultants, vendors, and staff.

Key Responsibilities

Office & Business Operations

  • Oversee the day-to-day operations of the office, including reception, correspondence, office supplies, shipping, scheduling, filing systems, and general administrative support.
  • Coordinate with third-party IT providers and assist with office technology, equipment, and troubleshooting.
  • Manage office operating expenses and purchasing within approved budgets.
  • Coordinate vendor relationships and service agreements, including facilities, office equipment, technology, and building services.
  • Serve as the primary liaison with building management regarding facility-related matters.
  • Identify opportunities to improve office processes and operational efficiency.

Financial Coordination

  • Track and reconcile monthly office expenses.
  • Assist with expense reporting and support accounting processes as needed.

Client & Office Support

  • Welcome clients, consultants, and visitors while maintaining a polished and professional office environment.
  • Draft and review business correspondence and internal communications.
  • Plan and coordinate office events, meetings, and client functions, including catering, room setup, technology coordination, and logistics.
  • Assist with travel arrangements and scheduling for leadership and staff as needed.
  • Coordinate new hire onboarding logistics, including workspace setup and office orientation.

Qualifications

  • 5+ years of office management or senior administrative experience.
  • Experience within architecture, engineering, construction, interior design, or another professional services environment is strongly preferred.
  • Bachelor’s degree preferred; equivalent experience will be considered.
  • Strong Microsoft Office skills; experience with business software and technology platforms preferred.
  • Excellent written and verbal communication skills.
  • Professional, polished demeanor with the ability to interact confidently with clients, vendors, consultants, and leadership.
  • Strong organizational skills with the ability to manage multiple priorities independently.
  • Demonstrated judgment, initiative, and ownership of office operations.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
