What We Are Looking For
Baylor University is seeking an Office Manager to support the mission of the BU Counseling Center by providing administrative, technical, logistical, and office management for a large team of clinicians operating out of two locations. The position offers critical executive support to the director and the members of the leadership team.
A high school diploma and one year of relevant work experience are required. An Associate’s degree and two years of relevant experience are preferred.
All applicants must be currently authorized to work in the United States on a full-time basis.
What You Will Do
Provide administrative assistance to Director of Counseling Services, including managing schedule, meetings, and tasks
Identify and coordinate complex meetings and communications with internal and external stakeholders and campus partners
Design content for presentations and manage professional messaging
Collect reports for clinical operations, training programs, and community partnerships for leadership review
Assist with problem identification and resolution through the planning, implementation, and evaluation of administrative procedures
Oversee daily facility operations for the SLC and Dutton office locations such as attending BEC meetings, managing door(CS Gold), isupply inventory and work order submissions
Act as the primary liaison for IT issues, managing hardware inventory (laptops), tech troubleshooting, and helpdesk tickets
Maintain and update departmental website, TV programming Support staff by monitoring facility concerns such as temperature control and office recording equipment
Manage department transportation resources, including fuel and damage monitoring for golf carts
Coordinate with the Financial Administrator (FA) for orders and front office budget management
Keep procedures in Box updated as advised by supervisor
Manage legal requests for records and ensure HIPAA-compliance of clinical records
Train and support front office staff, stepping in to provide coverage as needed
Serve as the BUCC administrator for our EMR, coordinating with EMR analyst and Assistant/Associate Director of Clinical Services/Operations, implementing records management, and providing staff training at onboarding and offboarding
Collect, format, distribute, and maintain records of critical data for accreditation, including multiple levels of student and supervisor evaluations
Schedule intern onboarding and exit procedures, including office prep, technology returns, and orientation to office procedures
Update reports, flyers, and website materials for the internship and the training portion of the department website
Manage schedules in the EMR for internship orientations, didactics, case consultations, and TD meetings, etc.
Provide scheduling support for major events (e.g., Hope, Peace, Love; Finals Fest; Texas Supervision Symposium)
Utilize online tools to update social media graphics, flyers, and handouts for outreach initiatives
Assist with the recruitment and interview logistics for the Mental Health Outreach Fellow program
Perform all other duties as assigned to support Baylor’s mission
Ability to comply with university policies
Maintain regular and punctual attendance
