The Staff Pad has partnered with Cadogan Tate, a global leader in fine art logistics, storage, and transportation, to identify an organized, professional, and service-oriented Office Manager for their New York location.
This role combines office leadership, front-of-house management, client service, and operational coordination. As the first point of contact for clients, vendors, and visitors, you'll play a key role in creating a seamless and professional experience while supporting the day-to-day operations of a fast-paced logistics business. What You'll Do
Office Management & Administration
Oversee daily office operations and administrative workflows
Manage office supplies, inventory, and vendor coordination
Maintain organized records, files, and documentation systems
Support process improvements to increase efficiency and productivity
Assist leadership with administrative projects and operational support
Ensure accurate completion of digital documentation and records
Reception & Front-of-House Responsibilities
Serve as the primary point of contact for visitors, clients, and vendors
Welcome guests and provide a professional, customer-focused experience
Manage incoming calls, emails, and general inquiries
Maintain a clean, organized, and professional reception area
Coordinate visitor check-in procedures and office access requirements
Support front desk operations and uphold exceptional service standards
Communication & Coordination
Route inquiries to appropriate departments efficiently
Coordinate schedules, deliveries, and collections with operational teams
Maintain warehouse and office calendars
Assist with communication between Account Managers, warehouse personnel, and leadership teams
Ensure documentation related to scheduling and operations is completed accurately
Operational Support
Assist with data entry and record management within company systems
Organize and distribute documentation across departments
Support client service and administrative teams during peak periods
Coordinate internal activities and office logistics
Provide ongoing support to management and staff
What We're Looking For
Qualifications
Previous office management, administrative, customer service, or reception experience
Strong organizational and multitasking abilities
Exceptional verbal and written communication skills
Professional phone etiquette and client-facing presence
Experience working in fast-paced environments with competing priorities
Strong attention to detail and accuracy
Proficiency with Microsoft Office Suite
Experience with CRM, logistics, or operational software is a plus
