Position Summary:
We are seeking a detail-oriented, experienced Office Manager to lead the accounting and administrative operations for a fast-paced automotive dealership group with five locations. The ideal candidate will have a strong background in automotive dealership operations, including title processing, financial reporting, and managing office staff. This role is critical to ensuring the smooth flow of documentation, accuracy of financial records, and compliance with regulatory and internal standards.
Key Responsibilities:
- Oversee daily operations of the accounting department and office functions across all locations
- Supervise and support office staff, including title clerks, accounting clerks, and administrative assistants
- Ensure accuracy and compliance in all vehicle titling, DMV paperwork, and lien processing
- Manage accounts payable and receivable, general ledger entries, and month-end closings
- Coordinate with sales departments to ensure timely and accurate deal processing
- Maintain internal controls and compliance with dealership policies and state/federal regulations
- Assist with audits and reporting
- Stay abreast of current factory incentives and code deliveries on the dealership computer system accordingly.
- Serve as a liaison between the corporate office and store-level management
- Implement and improve office systems, procedures, and efficiency across locations
Qualifications
- Minimum 2-3 years of experience in an automotive dealership office, with at least 2 years in management or supervisory role
- Strong working knowledge of automotive titling, DMV regulations, and financial paperwork
- Experience managing multi-location operations preferred
- Proficiency in dealership management software (e.g., CDK, VINsolutions, Dealertrack, etc.)
- Solid understanding of accounting principles and financial reporting
- Excellent organizational, communication, and leadership skills
- High attention to detail and ability to manage competing priorities
- Ability to effectively manage multiple projects simultaneously in a fast-paced and dynamic environment.
Preferred
Qualifications:
- Experience supporting franchise dealerships
- Associates or Bachelor's degree in Business Administration, Accounting, or related field
- Knowledge of state-specific automotive compliance laws and documentation
