Student Retention Initiatives

The Office Manager is a 12-month, benefits-eligible position. It will serve as a front-line customer service representative and provide administrative and data management support for the Academic Affairs Retention Office, including preparing special reports and coordinating assigned office activities. The incumbent will work with current and prospective UA Little Rock employees, students, and their families. This position will manage student employment, travel expenses, scheduling, reimbursements, community engagement, records and budget preparations, website updates, correspondence, and other clerical duties as assigned. This position provides general office management support and project and event management for the AARO office. This position reports directly to the Director of Academic Affairs Retention Office. This position is governed by state and federal laws and agency/institution policy.
Required Education and/or Experience:
Earned Bachelor’s degree;
Minimum of one year of customer service experience;
Minimum of one year of budget experience.
Preferred Education and/or Experience:
Two years of customer service work experience;
Two years of budget experience;
Multiple student management systems and database support;
Prior work experience as an administrative assistant;
Prior experience hiring and supervising employees;
Prior experience with Workday;
Prior work experience in higher education;
Strong word processing, spreadsheet skills, editing skills, and communication skills.
Job Duties and Responsibilities:
Administrative Event Planning:
Provide logistical support for event planning, implementation, and assessment;
Complete event and special project tasks list in a timely and precise manner;
Compile regular event report summaries and final assessments for review by the Director;
Care Team Support:
Provide frontline triage of incoming referrals, calls, and walk-in inquiries for appropriate staff assignment or resource referral;
Manage and maintain the Care Team Excel sheet, ensuring regular sorting, cleaning, and data integrity.
Coordinate graduation regalia hardship program;
Customer Service:
Provide assistance and clarification to potential students, current students, graduates, and/or program affiliates;
Answer incoming calls/emails and forward them to the appropriate staff member if necessary and/or document all messages;
Assist students in scheduling success coaching appointments
Assist with overall customer service departmental goals by supporting other employees and/or student workers when needed.
Office Management:
Assist with data entry, imaging, and electronic filing utilizing proprietary databases;
Collate applicant, student, and graduate data and prepare required internal and external reports as assigned;
Hire, train, supervise, and evaluate student work-study employees;
Process incoming and outgoing mail;
Maintain Student Success website;
Support Student Success social media content.
Budget & Purchasing Support:
Maintain office budget and office P-card;
Support and coordinate office travel needs;
Purchase and maintain office and programming supplies;
Perform other duties as assigned.
Knowledge Skills, and Abilities:
Knowledge and experience with office administration and reception;
Knowledge of campus support services available to students;
Knowledge and experience with databases, spreadsheets, and word processing;
Knowledge of Workday hiring, budget reports, requisitions/purchase orders;
Knowledge of WordPress, Google Services, and Workday;
Supervisory skills;
Create and review financial records and prepare reports;
Strong Communication skills - both orally and in writing;
Proofreading and editing skills;
Website management skills;
Excellent organizational skills;
