Job Description



The Office Manager will be responsible for the effective, compliant, and professional day-to-day management of Enteractive’s office operations. This role is critical in ensuring a safe, efficient, and well-organised working environment that reflects the company’s standards and culture. The Office Manager will oversee all office-related services, manage internal service teams, coordinate with multiple departments, and ensure full compliance with applicable Maltese laws and regulations.

This position requires a highly organised, proactive, and service-oriented individual with strong people management skills, sound judgment, and the ability to safeguard the company’s operational, legal, and reputational interests at all times.

Key Responsibilities

Office Operations & Facilities Management

  • Ensure the office environment is maintained to the highest standards at all times, including cleanliness, organisation, functionality, and presentation.

  • Oversee office layout, furniture procurement, assembly, maintenance, and repairs.

  • Manage relationships with landlords, building management, and external service providers.

  • Coordinate office maintenance, repairs, and upgrades, ensuring minimal disruption to business operations.

  • Ensure all office equipment and infrastructure are operational, properly maintained, and compliant with safety standards.

Team Management

  • Lead, supervise, and coordinate the internal service teams, including cleaning and kitchen staff.

  • Ensure proper staffing, scheduling, performance management, and adherence to company standards.

  • Promote a positive, respectful, and professional work environment.

  • Ensure food handling, hygiene, and kitchen operations comply with all applicable Maltese health and safety regulations.

Health, Safety & Compliance

  • Act as a key point of responsibility for office health and safety, ensuring compliance with all applicable Maltese legislation, including occupational health and safety requirements.

  • Develop, implement, and maintain health and safety policies, procedures, and risk assessments.

  • Ensure proper emergency procedures, fire safety systems, and first aid provisions are in place and regularly reviewed.

  • Maintain accurate records and ensure compliance with inspections, audits, and regulatory requirements.

Procurement & Supplier Management

  • Manage procurement of office supplies, equipment, services, and consumables in a cost-effective and compliant manner.

  • Source, negotiate, and manage relationships with suppliers and vendors, ensuring quality, reliability, and value for money.

  • Monitor budgets related to office operations and report on expenditures as required.

Events & Employee Experience

  • Collaborate with the Marketing team to plan and execute internal events (e.g., summer and winter events, in-office activities).

  • Support Marketing in organising external events, including B2B events, conferences, and corporate functions.

  • Ensure all events are professionally delivered, on-brand, and within budget.

Reception & Front-of-House Responsibilities

  • Act as the face of the company for all visitors, ensuring a professional, welcoming, and positive experience for both internal and external stakeholders.

  • Maintain a high standard of professionalism, communication, and presentation at all times.

Relocation, Onboarding & Employee Support

  • Coordinate relocation logistics for new employees, including accommodation and settling-in support.

  • Manage company apartments, ensuring they are maintained, compliant, and properly utilised.

  • Oversee onboarding logistics, including preparing workstations in collaboration with IT and ensuring a smooth employee experience.

Benefits & Perks Administration

  • Manage and administer employee benefits and perks, ensuring proper communication, consistency, and compliance.

  • Continuously assess and improve offerings in line with company strategy and employee needs.

Merchandise & Corporate Materials

  • Oversee the procurement, storage, and distribution of company gifts and branded merchandise.

  • Ensure alignment with brand guidelines and cost control measures.

Flexibility & Availability

  • Demonstrate flexibility and a proactive approach to handling urgent matters, including availability outside standard working hours where necessary to ensure business continuity.

General Duties & Expectations

  • Act in the best interests of the company at all times, safeguarding its assets, reputation, and operational integrity.

  • Ensure confidentiality and proper handling of sensitive company information.

  • Maintain accurate records and documentation across all areas of responsibility.

  • Ensure all activities are carried out in full compliance with Maltese employment law, health and safety regulations, data protection requirements, and any other applicable legal obligations.

  • Proactively identify risks and implement mitigation measures.

  • Continuously seek improvements in efficiency, cost management, and employee experience.
