ESSENTIAL DUTIES and RESPONSIBILITIES

CFO & Finance Department Support

(Communication, Organization, Follow-Through)

  • Provide administrative support to the CFO (calendar, travel, meeting logistics, agendas) and track follow-ups to completion.
  • Manage CFO expense reports and track Finance credit card transactions.
  • Assist the CFO in evaluating and revising finance policies and procedures to improve compliance and the department’s operational efficiency.
  • Support the Board’s Finance, Audit, and Investment Committees, including scheduling, materials, minutes, and action-item tracking with on-time completion.
  • Coordinate logistics for Finance team meetings, retreats, and special projects.
  • Provide general administrative support to Finance staff, including document preparation, filing, and data entry.
  • Maintains a co-reporting structure, receiving day-to-day supervision from the Senior Executive Administrator, while supporting finance operations and project work for the CFO.
  • Provides cross-team coverage as needed, including support for the Senior Executive Administrator during absences or peak workload periods.

Reception & Front Desk Coordination

(Service Orientation, Reliability, Judgment and Safety)

  • Staff reception desk during core hours, includes greeting visitors, management of badges and the visitor log, and maintaining security protocols.
  • Monitor the main voicemail and info@bgcb inbox, route or resolve inquiries, and meet defined response-time targets.
  • Keep common areas tidy and presentable; sort mail and manage packages.

Office Operations, Facilities, and IT Support

(Collaboration, Safety and Compliance, and Technology Fluency)

  • Maintain office and kitchen supply inventory and place orders within budget and procurement guidelines.
  • Coordinate with building management on facilities issues and communicate updates to staff.
  • Coordinate with IT on device setup for staff and ensure handoff and documentation are complete.

Other Duties

  • Perform additional duties as assigned by the Senior Executive Administrator and CFO.
  • Occasionally needed before or after hours for meetings and events.

QUALIFICATIONS

Required

  • High school diploma required; associate’s degree or certification in office management preferred.
  • 2–4 years of experience in office coordination, reception, or administrative support.
  • Experience supporting executives or board-level committees strongly preferred.
  • Strong customer service skills; professional and personable attitude.
  • Proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
  • Strong customer service mindset, clear written and verbal communication, and reliable follow-through.
  • Ability to manage multiple priorities in a busy office environment.
  • Familiarity with office equipment and basic IT troubleshooting.
  • Excellent organizational skills and ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Discretion in handling confidential information.

Preferred or Ideal

  • Bilingual or multilingual skills is a plus

TRAVEL

  • Engage in limited travel (i.e., between offices/clubs, for special events, etc.)

SALARY & BENEFITS

Salary - $65,993-$77,004 - commensurate with experience; along with competitive benefits and a great work environment
