Schedule: Monday–Friday. This is a high-volume practice offering a rewarding, team-oriented work environment.
ESSENTIAL JOB FUNCTIONS:
Assists the Site Director in the selection and purchase of supplies and equipment and insures availability
Responsible for the maintenance and repair of the equipment.
Recruits and interviews employees; candidates and makes recommendations to the Site Director.
Supervises all front office employees; duties include (but are not limited to): staffing and schedules, maintenance of on-site personnel/training records, orientation of new office employees, employee appraisals, reporting payroll information to Corporate Office (including participation in hiring/firing, recruitment, missed punches, leave time, etc.)
Acts as back-up to employees that are supervised.
Manages the day to day administrative and personnel issues of areas of responsibility.
Monitors patient flow and recommends changes to the Site Director as needed.
Oversees medical records department.
Oversees the flow of medical dictation and transcription, ensuring quick turnover from patient visit to medical record and security of transcription copies.
Generates medical correspondence or other information as requested.
Maintains strict confidentiality.
Works closely with Accounts Receivable Manager in the coordination of cashier, registration, and patient billing information functions.
Maintains template for the providers on the appointment scheduler based on schedule generated by the Site Director and the CVHS Clinical Director.
Oversees distribution of mail.
Generates bills for requested outgoing medical information (ROI).
Acts as liaison between other health professional and the site providers.
Coordinates quality improvement activities for the front office, to include: chart format, in service programs, employee training and monitoring of same. Performs periodic chart audits for quality assurance.
Acts as site safety officer.
Verifies and coordinates compliance with various occupational, safety and health regulations.
Schedules and organize monthly staff meetings, provider-mid management meetings, notify affected parties and prepare minutes. Coordinate social events for the site.
Maintains petty cash and postage funds.
Responds to patient complaints.
Informs Site Director of concerns interfering with the smooth operation of the site.
Coordinates facility and utilities maintenance including cleanliness and repair, both interior and exterior.
Attends work as scheduled.
Promotes a team-based patient-centered medical practice model through leadership and practice. Communicates with administrative and provider staff to ensure nursing staff efforts are supporting the model.
Works closely with Site Director and staff to review UDS measures, develops action plan to increase measure.
Performs other related duties as assigned by the Site Director.

QualificationsEDUCATION, TRAINING AND EXPERIENCE:
Preferably Medical Office Experience
Should have experience with or knowledge of medical office systems, medical records maintenance, medical supplies and equipment.

In November 1970, Central Virginia Health Services opened in rural Buckingham County, becoming the first community health center in Virginia. The site, Central Virginia Community Health Center (CVCHC) was created to serve the health care needs of residents of the rural counties of Buckingham, Cumberland, and Fluvanna. Initially operating out of three trailers in each of the three counties, practice operations were consolidated into the Gold Hill community of Buckingham County.

CVHS has grown and today is Virginia’s largest community health center both in terms of numbers of sites as well as number of patients. Each site added to CVHS was developed as a result of identified needs in each respective community. Over time, it became apparent that urban as well as rural communities struggled to meet residents’ health care needs.
