About the role
We’re looking for a part-time Office Manager (20-30 hours per week) to support our team in Wiesbaden.
This role requires the confidence to undertake administrative tasks, coordinate office activities, events, and operations to ensure compliance with company policies, and provide colleagues with adequate support to work efficiently.
The ideal candidate will be competent at prioritising, showing initiative and working with little supervision. They will be self-motivated and trustworthy. We're looking for someone who is flexible in how they work each week, aligned with 20-30 hours.
This role will report to the Workplace Operations Lead based in Canada. We’re looking for someone who is naturally organised, personable, confident, with good communication skills and, most importantly, with a good sense of fun.
What you'll be doing
Ensure the smooth running of the office on a day-to-day basis
Liaise with staff, suppliers and clients
Implement and maintain procedures/office administrative systems
Coordinate meetings and any catering or refreshments
Coordinate any office events and any catering or refreshments
Keep track of office supplies and place orders when necessary
Keep a detailed record of spend, overheads and anticipated costs for the office
Manage agendas / appointments etc. for the team where needed
Manage phone calls and correspondence (e-mail, letters, packages, etc.)
Assist colleagues whenever necessary
Help create an engaging office environment and drive initiatives that foster community and on-site collaboration
Essential
Proven experience as an office administrator, office assistant or relevant role
Familiarity with office management procedures and basic accounting principles
Knowledge of Google Suite and office management software
Self-starter, independent thinker - able to work autonomously
Personable, helpful, professional, kind, and honest attitude
Time management and personal organizational skills
Comfortable working collaboratively, both face-to-face and through online tools such as Zoom, Microsoft Teams, Slack, etc.
Strong organisational skills inter-personal skills.
Desirable
English as a spoken and written language
