JOB SUMMARY

The Office Manager is responsible for overseeing the efficient, professional, and seamless daily operations of Cornerstone Advisors’ corporate headquarters in Scottsdale, Arizona. Reporting directly to the Chief Operating Officer (COO), this position provides operational oversight and coordination of office administration, facilities management, workplace services, hospitality, employee support, and day-to-day administrative functions, ensuring a productive, organized, and welcoming work environment.

The Office Manager collaborates cross-functionally with Finance, Information Technology, Legal, Human Resources, Marketing, and Events to support organizational priorities, maintain operational consistency, and deliver a high standard of workplace service while ensuring specialized functional decisions remain with the appropriate departmental leaders.

Schedule: This is a full-time, on-site position based at Cornerstone Advisors’ corporate headquarters in Scottsdale, Arizona, Monday through Friday. Regular on-site presence is required to provide direct oversight of daily office operations, support employees and visitors, and ensure continuity of workplace services.

ESSENTIAL FUNCTIONS

Key Responsibilities

  • Oversee office readiness, shared spaces, conference rooms, supplies, deliveries, visitor support, and workplace communications. Coordinate building management, repairs, cleaning, security, access, parking, safety supplies, inspections, and emergency readiness. Manage inventory, purchasing logistics, seating, office moves, and onboarding/offboarding coordination with HR and IT. Arrange meetings, catering, client visits, and employee events. Track vendor services and renewal calendars, route invoices to Finance, and support the COO with administrative projects and process improvements.

Knowledge and Skills

  • Knowledge of professional office operations, facilities coordination, vendor management, meeting logistics, workplace safety, basic purchasing and invoice procedures, and Microsoft 365.

Problem Solving/Analysis

  • Anticipate needs, prioritize multiple requests, resolve routine workplace issues independently, document recurring problems, and escalate significant risks or decisions to the COO or appropriate functional owner

Qualifications

REQUIRED SKILLS & ESSENTIAL QUALITIES

Technical Skills

  • Microsoft 365 proficiency; ability to learn room-booking, inventory, expense, service-desk, and communication systems; accurate recordkeeping; basic invoice and budget coordination.

Soft Skills

  • Strong organization, attention to detail, service orientation, resilience, discretion, composure, initiative, prioritization, sound judgment, and reliable follow-through.

EDUCATION & EXPERIENCE

Minimum Qualifications

  • Relevant education, training, and professional experience sufficient to perform the role effectively.
  • At least five years of progressive experience in office management, workplace operations, facilities coordination, executive support, hospitality, or a comparable service-oriented position.
  • Proficiency in Microsoft 365 and ability to learn workplace administrative systems.
  • No specific license or certification identified in the supplied role specification.

Preferred Qualifications

  • Prior responsibility for a corporate or professional office; consulting or professional-services experience; experience supporting senior leaders and handling confidential matters.
