The role has a strong focus on payroll coordination and HR administration, alongside responsibility for company vehicle fleet administration, employee expenses, and day-to-day office operations. You will bring strong payroll expertise and the confidence to work with different external payroll providers, coordinate multiple payroll calendars, and manage overlapping deadlines. Key Responsibilities

Payroll Coordination and HR Administration

  • Coordinate payroll activities with external providers, ensuring inputs are accurate, complete, and submitted on time.
  • Manage different payroll calendars and provider requirements, keeping track of overlapping deadlines and following up on outstanding information.
  • Validate payroll inputs and outputs, identify discrepancies, and coordinate corrections with providers and internal stakeholders.
  • Monitor absences, leave, and working hours using ADP.
  • Coordinate administration relating to employee health insurance, provident schemes, and other payroll-related matters.
  • Prepare and coordinate onboarding documentation for new employees, ensuring all required paperwork is complete, accurate, and processed on time.
  • Maintain accurate, up-to-date, and confidential employee records.

Vehicle Fleet and Expense Management

  • Coordinate company vehicle fleet administration, including rental contracts, maintenance, supplier relationships, and cost tracking.
  • Manage employee expense administration and tracking, checking supporting documentation and following up on discrepancies in line with company policies.

Office Management

  • Coordinate office suppliers, supplies, correspondence, and daily operational needs.
  • Support office maintenance and health and safety activities.

Qualifications & Skills

  • At least three years of relevant experience in payroll coordination and HR administration, ideally within a multinational or multi-site environment.
  • Strong payroll expertise, including experience checking payroll inputs and outputs and resolving discrepancies with external providers.
  • Demonstrated ability to coordinate different payroll providers and manage multiple deadlines simultaneously.
  • Strong knowledge of French payroll administration and employment requirements.
  • Familiarity with ADP or comparable payroll and time-management systems.
  • Experience in company vehicle fleet administration and employee expense management.
  • Excellent organizational skills, attention to detail, and discretion when handling sensitive information.
  • Strong communication skills in French and English.
  • Ability to prioritize independently, follow up proactively, and resolve day-to-day issues.
  • Availability to start in December 2026 and work on-site in Rungis four days per week.

Who Are You?

You are a practical, reliable, and service-oriented professional who enjoys taking ownership and keeping things running smoothly. You combine strong payroll knowledge with a hands-on approach to administration and can quickly take responsibility for established processes.

You are comfortable working with different providers and managing competing priorities without losing sight of the details. You anticipate deadlines, follow up on missing information, and address issues promptly. Approachable and collaborative, you build effective working relationships while handling confidential information with care.
