About the Role
The Office and Finance Assistant is responsible for ensuring the smooth day-to-day operations of the office while providing essential administrative and financial support. This role combines office management, employee support, and coordination of workplace logistics with basic accounting and financial administration tasks.
What You Will Do
Office Responsibilities
Provide administrative support to employees
Handle incoming and outgoing mail, including archiving and maintaining proper documentation registers
Maintain records and tracking of company working equipment (laptops, accessories, office assets)
Manage office maintenance, cleanliness, and overall organization, including inventory and supply restocking
Oversee daily office operations, including communication with property management and distribution of access cards
Assist in planning, organizing, and executing office events and company meetings
Coordinate new hire onboarding logistics, including workspace and equipment setup
Arrange business travel as required
Communicate relevant updates and information to the local office
Accounting Responsibilities
Communicate and coordinate with the outsourced accounting provider
Manage incoming and outgoing invoices, ensuring accuracy and proper documentation
Monitor daily bank transactions and maintain accurate records
Prepare and process payments through e-banking systems
Liaise with banks regarding transactions and account-related matters
Communicate with tax authorities regarding submissions and inquiries
Maintain organized and up-to-date financial documentation
Who You Are
1 year of experience in administrative, office support, or junior finance/accounting roles
English proficiency
Strong organizational and time-management skills, with the ability to handle multiple tasks and priorities
High level of attention to detail, especially when managing documentation, invoices, and records
Basic understanding of financial processes (invoicing, payments, bank transactions)
Experience working with MS Office (Excel, Word, Outlook); ability to manage spreadsheets and documentation registers
Strong communication skills, both written and verbal, with a professional and service-oriented approach
Ability to handle sensitive and confidential information with discretion
Proactive mindset with the ability to work independently and take ownership of tasks
