Our Ideal Candidate

Key Responsibilities (include But Are Not Limited To)

Front of House & Office Experience

  • Act as the first point of contact for visitors, employees and external partners, creating a professional, welcoming and service-oriented office experience.
  • Maintain reception, meeting rooms and shared office areas to a high standard, ensuring spaces are well presented, organised and ready for daily use.
  • Handle visitor processes, office communications and day-to-day requests with discretion, professionalism and strong attention to detail.
  • Maintain reception procedures, visitor information and office reference materials so they remain practical, accurate and up to date.

Mail, Couriers & Logistics

  • Coordinate incoming and outgoing mail, couriers and delivery activity across the ANZ network, ensuring items are handled accurately, efficiently and within required timeframes.
  • Support office logistics and deliveries, including coordinating urgent requests, monitoring inbound items and ensuring prompt distribution or collection by recipients.
  • Maintain awareness of building, security and emergency procedures and apply them appropriately as part of daily office operations.

Executive & Business Support

  • Provide high-quality administrative support to the General Manager including travel coordination, diary support, expense processing and stakeholder communication.
  • Support the planning and delivery of internal meetings, leadership events, conferences, travel arrangements and other key business activities, ensuring strong organisation and follow-through.
  • Manage office-related vendors and administration, including supplier coordination, purchase orders, invoice processing and day-to-day communications.
  • Build effective relationships with internal and external stakeholders, including Executive Assistants, leaders, employees, vendors and external partners, representing the office and leadership team professionally.
  • Partner with HR to support selected people processes, including onboarding, employee milestones, recognition moments, departures and internal communications.
  • Provide project coordination and ad hoc support for business priorities led by the General Manager.

Office Operations

  • Take ownership of day-to-day office operations, including facilities, building management, service providers, supplies and shared spaces.
  • Ensure the workplace is organised, stocked, well maintained and ready to support employees and visitors each day, including kitchens, meeting rooms and common areas.
  • Manage office supplies and consumables, maintaining appropriate stock levels for stationery, kitchen items and other workplace essentials.
  • Coordinate regular office services and practical administration, including supplier visits, maintenance requests and shared resource scheduling such as car park allocation where required.

Skills and Experience

  • Confidence in managing competing priorities, solving day to day issues and working calmly across multiple stakeholders.
  • Excellent organisation, communication and stakeholder management skills.
  • A proactive, adaptable approach and the ability to manage changing priorities.
  • Strong judgement, professionalism and discretion when handling sensitive matters.
  • Confidence working across Microsoft Office, including Outlook, Word, Excel and PowerPoint.
  • A high level of initiative, ownership and attention to detail.
  • Experience in office coordination and professional, service oriented style
