Hourly Pay Range (Minimum - Midpoint - Maximum):

$25.000 - $25.000 - $25.590

What You Will Do
This position provides clerical and administrative support to the Operations Manager and Program staff. Assists with patient communication. Tracks billing and departmental expenses and verifies discharge audits are completed. Ensures efficiency of front desk workflow.

Required Qualifications

  • H.S. Diploma or Equivalent


Preferred Qualifications

  • 2 Years experience in managing an outpatient psychiatric office, medical practice, or related setting.


Essential Functions

    Maintains a safe, clean working environment, including unit based safety and infection control requirements.

    Helping the manager with staff and group scheduling

    Coordinating admissions, ensuring that they are scheduled appropriately, on days with openings and on days individualized services are available

    Helping with efficiency and work flow at the front desk

    Assisting clinicians with contacting patients that no-show or reluctant to attend program

    Communication of critical patient issues with different disciplines, such as MDs, nursing, MHW, and therapists

    Ensuring discharged audits completed and charts sent to Medical Record in a timely manner

    Tracking of billable units to ensure productivity per budget guidelines

    Tracking all expenses and ensuring appropriateness for approval

    Assisting with milieu management

    Assisting with EOC rounds per regulatory standards

    Responsible for managing and or coordinating the clerical tasks of the Program.

    Maintains Program related databases for statistical reports such as Renaissance Jr. program, daily and weekly reports, billing and demographics, as directed y the Operations Manager of Outpatient Behavioral Health.

    Coordinates and processes all billing charges in a timely manner.  Responsible for daily/monthly reconciliation of the billing and insuring the accuracy of charges submitted.

    Completes admission paperwork on all patients admitted to program.  Processes admission and discharge paperwork with the hospital admission office.

    Orders all supplies and services necessary to manage the Program including food service.

    Works collaboratively with Transportation Dispatcher and drivers to coordinate transportation for new admissions and changes in routes.

    Answers/screens all telephone calls and greets guests visiting the Program.  Facilitates communication between outside referral sources and appropriate Program staff.

    Directs patients to appropriate clinical staff as situations arise.

    Processes correspondence as requested by the Operations Manager.

    Communicates effectively with hospital personnel creating a positive and effective working relationship.

    Responsible for reconciliation of petty cash and reimbursement of the petty cash fund in a timely manner under the authority of the Operations Manager of Outpatient Behavioral Health.

    Other duties as requested by the Operations Manager of Outpatient Behavioral Health.


Knowledge, Skills, and Abilities

  • Ability to create, organize and manage all clinical/administrative systems, required.
  • Computer literate; knowledge of Microsoft Word, and Excel, required.
  • Ability to collect and summarize statistical information, preferred.
  • Ability to interact with patients, program staff, physicians, other departments and outside agencies in a professional manner, required.
  • Ability to handle multiple demands in a calm, controlled manner, required.
