About the role
We’re looking for an organized, friendly, and proactive Office Coordinator to support the day-to-day operations of our Boston office. You’ll help create a welcoming, well-equipped workplace by coordinating office services, assisting employees and visitors, supporting events and onboarding, and ensuring everyday needs are handled promptly.
Reports to our Global Workplace Manager. This is a highly visible, people-facing role for someone who enjoys helping others, stays calm when priorities shift, and takes pride in keeping an office organized and running smoothly.
What you'll do
Coordinate daily office operations, including opening and closing routines, supplies, snacks, mail, deliveries, and general office organization.
Serve as the friendly first point of contact for employees, visitors, candidates, and vendors. Providing a warm and professional experience.
Manage relationships with building management, cleaning crews, IT support, and service vendors, and act as the point person for facilities issues and repairs.
Place and track orders for office supplies, equipment, food, and events while following purchasing guidelines and monitoring expenses.
Plan and coordinate office events, team lunches, celebrations, and occasional offsites.
Support new-hire onboarding by preparing desks, equipment, access badges, and welcome materials in partnership with the IT and People teams.
Help maintain office health, safety, and security procedures, including visitor policies and building access.
Sort incoming mail and coordinate outgoing shipments and couriers.
Maintain office calendars, vendor contacts, supply inventories, and other workplace documentation.
Assist the Global Workplace Manager with operational projects and process improvements.
Provide hands-on support for other office needs as they arise.
Take on ad-hoc projects that improve how the office and team operate.
2+ years in office/workplace management, facilities, or workplace operations, ideally in a fast-growing company
Exceptional organization and follow-through — you keep many plates spinning without dropping them.
Warm, professional communication style; a genuine interest in helping people.
Resourceful and proactive; you spot problems before they become problems and just handle things.
Comfortable with common workplace tools (e.g., Google Workspace or Microsoft 365, Slack, and basic spreadsheets).
Ability to lift and move office supplies or equipment weighing up to 50 pounds, with or without reasonable accommodation.
Sound judgment and discretion with sensitive information.
Able to work on-site in our Boston office 5 days a week.
Experience in a startup or fast-growing company.
Familiarity with vendor coordination, expense tracking, or inventory management.
Experience supporting company events and employee programs.
