Office Coordinator

Become the beating heart of our Smithfield office in this part-time role, working Monday to Friday, 9:00 AM – 2:30 PM. You’ll be the go-to person who keeps the office organised, supports our people and makes sure the day-to-day details are taken care of, so our team can focus on doing their best work.

What your day would look like:

  • Be the Welcome Committee: Greet visitors with a smile, answer calls and enquiries, and help create a welcoming and professional office environment.
  • Keep the Office Running: Coordinate day-to-day office administration, including supplies, uniforms, mail, couriers, samples, meeting rooms and general office requirements.
  • Support the General Manager: Provide additional administrative support to the General Manager, including calendar coordination, inbox management, meeting arrangements and other administrative tasks as required.
  • Travel Organising Guru: Coordinate business travel arrangements, including flights, accommodation, and other travel requirements, ensuring our team can travel with ease.
  • Conference & Events Coordinator: Help organise conferences, company events, team activities, meetings and client visits, including catering and logistical arrangements.
  • Culture Champion: Support our Social Committee and help organise activities and events that bring our team together and contribute to a positive workplace culture.
  • Fleet Coordinator: Help keep our company vehicles on track by coordinating servicing, registrations, toll notices and other fleet requirements.
  • Fixer of Things: Be a key point of contact for office facilities, equipment and maintenance issues. Liaise with suppliers, contractors and IT to make sure problems are sorted quickly and the office keeps ticking along.
  • Process Improver: You’ll enjoy learning new systems and finding better ways of doing things. Whether it’s setting up a new process, improving an existing one or helping the office work more efficiently, you’ll take initiative to make things run smoothly.
  • General Administration Superstar: Provide general administrative and ad hoc support across the business, including data entry, record keeping, internal communications and other tasks as required.

What you will bring:

  • Organisation: You’re highly organised, detail-oriented and comfortable juggling a variety of tasks and competing priorities.
  • Microsoft Office: You’re comfortable and experienced using the Microsoft Office Suite, particularly Outlook, Word and Excel.
  • Communication: You have strong written and verbal communication skills and enjoy working with people at all levels of the business.
  • Initiative: You’re proactive, resourceful and able to work independently, solve problems and get things done.
  • Adaptability: You adapt quickly to learning new systems and enjoy setting up processes that enable the smooth and efficient running of the office.
  • Experience: Previous experience in office administration, coordination or a similar support role would be highly regarded.
