The Office Coordinator is responsible for providing administrative and customer service support to the branch office, helping to coordinate daily operations and special projects. This role fosters collaboration across teams and contributes to process improvements in administrative and other functions to support managers and staff in achieving efficient, high-quality results.

Essential Duties and Responsibilities
Administrative & Operational Support:
- Maintain and organize office filing systems, records, and documentation for supervisors, managers, and department needs
- Forecast priorities and assist with planning to improve efficiency
- Answer incoming calls; route calls and messages to the correct department or individual
- Ensure functionality of office equipment
- Handle general office functions
- Support project and operational needs
- Monitor customer invoicing and payment follow-up
- Maintain and update equipment records
Customer Service & Communication:
- Communicate with external contacts in a professional, service-oriented manner that reflects company values
- Serve as a communication hub between customers, vendors, field personnel, and supervisors; promote collaboration and responsiveness in support of company goals
Employee & Field Support:
- Assist with onboarding and offboarding of office and field employees
- Act as a point of contact for field staff questions, providing coaching and guidance on administrative processes
- Support continuous improvement by identifying professional development goals and collaborating with supervisors to address growth opportunities
Safety/Hazard Recognition & Elimination:
- Pre-plan and identify the methods to eliminate hazards daily by work task.
- Execute skill in observing habits and hazards of others and bringing it to their attention.
- Uphold safety as the most important goal of our company. Support goal of achieving zero accidents.
- Promote and encourage open communication between field and office regarding all safety concerns, suggestions, improvements, and PPE needed.
- Obtain safety training as expected by all company personnel.
Qualifications and Requirements
- High School Diploma (or equivalent) required
- Higher education in Business Administration (or similar) preferred
- Prior experience in an administrative role
Experience, Skill and Abilities
- Positive safety attitude and personal integrity -- both are non-negotiable
- Proficiency with Microsoft Office Suite (including Excel, Word, Outlook, and Teams)
- Excellent customer service orientation
- Strong communication skills, both verbal and written
- Strong interpersonal skills; ability to interact with all levels of the company and customers
- Strong problem-solving and creative skills; ability to exercise sound judgement and make decision based on accurate and timely analysis
Physical Requirements
Office environment, requiring sitting and standing and extended amounts of time using a computer/keyboard at a single workstation.
