To support the establishment of our client's new IT location in Bucharest, we are looking for a proactive, well organised and hands on Office Coordinator who enjoys building structures, coordinating local activities and supporting an international team.
This is a unique opportunity to be part of the setup of a new office from the very beginning. You will play a key role in ensuring that our Bucharest location is successfully establishedand operates smoothly on a day to day basis.
Your Responsibilities
During the setup phase you will:
- Support the search, selection and setup of our new office in Bucharest.
- Coordinate local suppliers, landlords and service providers.
- Organize office equipment, furniture and workplace setup.
- Support administrative tasks related to establishing the new location.
- Coordinate appointments and support international colleagues visiting Bucharest.
- Work closely with our German headquarters and our local HR/BPO partner.
- Support local HR administration in cooperation with our external HR/BPO partner.
Once the office is operational you will:
- Act as the local point of contact for all office related topics.
- Coordinate office management and facility related activities.
- Support the onboarding of new employees.
- Coordinate office supplies, deliveries and external vendors.
- Organize meetings, workshops and team events.
- Support general administrative and organizational tasks.
- Assist with communication between the local team and our colleagues in Germany.
- Help create a positive, welcoming and well organized office environment.
Your Profile:
- Previous experience in Office Management, Office Coordination, Executive Assistance or a similar administrative role.
- Strong organizational and communication skills. Ability to work independently, prioritize tasks and manage multiple topicssimultaneously.
- A proactive, hands on and solution oriented mindset.
- Excellent English language skills ( written and spoken) are essential, as you will work closely with our international teams and external partners.
- German language skills would be a strong advantage but are not mandatory
- Very good knowledge of Microsoft Office applications. A friendly, reliable and service oriented personality with a high level of ownership.
