Small Fish Big Fish Swim School and Sweet Peas Educational Gymnastics are seeking a professional, energetic, and highly organized Office Coordinator to lead front desk operations.

This role is ideal for someone who thrives in a fast-paced, customer-focused environment and genuinely cares about delivering an exceptional experience for families.

Key Responsibilities

• Â Manage daily front desk operations and ensure excellent customer serviceÂ
• Â Respond to all client calls, texts, and inquiries within 24 hoursÂ
• Â Oversee class scheduling, makeups, and enrollment supportÂ
• Â Track and support weekly student enrollment goalsÂ
• Â Monitor attendance, phone logs, and prepare daily executive summary reportsÂ
• Â Ensure accuracy of scheduling changes and front desk entriesÂ
• Â Review and verify monthly billing prior to processingÂ
• Â Maintain return call logs and follow-up systemsÂ
• Â Manage boutique inventory and reorder supplies as neededÂ
• Â Run daily, weekly, monthly, and annual reportsÂ
• Â Support marketing initiatives and ensure promotional materials are displayedÂ
• Â Assist with basic HR functions and administrative dutiesÂ
• Â Maintain front desk procedures, scripts, and accountability standardsÂ
• Â Monitor outstanding accounts and follow up as neededÂ

Qualifications

•  1–3 years of administrative, front desk, or customer service, managment experience preferredÂ
• Â Strong organizational and multitasking skillsÂ
• Â Excellent communication skills (phone, text, and in-person)Â
• Â High attention to detail and accuracyÂ
• Â Positive, energetic, and professional demeanorÂ
• Â Ability to take initiative and work independentlyÂ
• Â Comfortable with computer systems and learning new softwareÂ
• Â Experience in scheduling, customer service, or office coordination preferredÂ

Compensation: $28,000.00 - $34,000.00 per year
