Job Description

E11 Bio is a nonprofit Convergent Research organization aiming for a neuroscience moonshot: developing a radical technology platform for scalable mammalian brain mapping. More than 20% of the world's population is affected by some type of neurological or neuropsychiatric disorder - Azheimer’s Disease, autism spectrum disorder and epilepsy are just a few - and we aim for our work to be the basis for alleviating much of that suffering. E11 Bio is seeking an organized, reliable Office Coordinator to support day-to-day office operations and help maintain a functional, welcoming, and well-run physical workspace. This is an entry-level, onsite role based in Alameda, CA, reporting to our Operations Manager. The schedule is flexible and may be structured as full-time or part-time (e.g., shorter daily hours or a reduced number of days per week), depending on mutual fit and availability. You’ll be responsible for the practical details that keep the office running smoothly and create an environment where our scientific team can do their best work.
Schedule & Work Arrangement
This role requires an onsite presence during regular working hours to support daily office operations. We are open to a range of schedules, including full-time or part-time arrangements (for example, approximately 4 hours per day or 3 days per week). We value reliability and consistency and will work with the right candidate to determine a schedule that supports both the role and the individual.

Responsibilities

  • Office Operations, Facilities & Logistics
  • Keep shared office spaces functional and orderly through light daily upkeep (e.g., emptying clean dishwashers, tidying after meetings, breaking down delivery boxes).
  • Coordinate shipping and receiving, including tracking deliveries, unpacking, and routing items to the correct teams.
  • Oversee waste removal including cardboard, styrofoam, bulk trash, and off-site storage coordination.
  • Coordinate minor repairs, maintenance, and technician visits; track completion and follow up as needed.
  • Support space planning, organization, and reconfiguration as team and equipment needs change.

  • Purchasing & Vendors
  • Place orders for routine office needs and routine scientific reagents and consumables under established guidance.
  • Serve as a point of contact for office-related vendors, contractors, and service providers.
  • Support purchasing workflows and ensure timely reordering of frequently used items.

  • Expense Reports & Documentation
  • Process employee expense reports, ensuring completeness and policy compliance.
  • Track down missing receipts or documentation and follow up with team members as needed.
  • Maintain clear records to support accurate reimbursement and reporting.

  • Lunch, Snacks & Office Food Program
  • Own the day-to-day operation of the office lunch program.
  • Select, order, and restock healthy snacks and beverages with attention to dietary needs and preferences.
  • Coordinate lunch orders for guests and special meetings.
  • Monitor usage and suggest improvements to food offerings over time.

  • Visitors, Meetings & Events
  • Assist with logistics for visitors, vendors, and technicians (scheduling, space preparation, basic hosting, follow-up).
  • Support internal meetings, workshops, and small events with setup and cleanup.

  • Visuals, Swag & Office Aesthetic
  • Maintain office posters, signage, and simple visual materials using tools like Canva or Google Slides.
  • Reorder and manage swag inventory; assist with light design updates when needed.
  • Take initiative in improving the physical space (plants, seasonal decorations, small upgrades) to keep the office welcoming and cared for.

  • Safety, Security & Preparedness
  • Maintain office safety, first aid, and emergency supplies.
  • Be proactive in flagging hazards or facilities issues.
  • Support basic office security and emergency readiness by maintaining supplies and documentation.
  • Assist with workplace health precautions as needed.

Qualifications

  • Prior work experience in an office, administrative, operations, retail, hospitality, or facilities-adjacent role.
  • Strong organizational skills and attention to detail.
  • Reliable follow-through and comfort managing recurring responsibilities.
  • Clear, professional communication skills.
  • Comfort handling routine purchasing, shipping/receiving, and expense documentation.
  • Comfortable using basic digital tools (Google Workspace; familiarity with Slack or Canva is a plus).
  • Ability to work onsite during standard working hours in a fast-paced, startup-style environment.
  • Ability to maintain a consistent onsite schedule during core working hours, even if part-time.
  • References required.

  • Nice to have (not required):
  • Personal interest in neurobiology or neuromedicine
  • Any science or technical background, or interest in working in a research environment.
  • Comfort learning the purpose of scientific instruments, reagents, and workflows.
  • Basic graphic design sensibility.

New types of organization are needed to accelerate scientific progress.

Academic research groups and startup companies are essential to science and technology development. But there are some projects they just aren’t suited for. A university astronomy lab couldn’t have launched the Hubble Space Telescope on its own, nor would a venture-backed startup have built the Large Hadron Collider at CERN.

Hubble and CERN illustrate a common pattern in science: a need for projects that are bigger than an academic lab can undertake, more coordinated than a loose consortium or themed department, and not directly profitable enough to be a venture-backed startup or industrial R&D project.

Focused Research Organizations (FROs) are a new type of scientific institution designed to fill this gap.
