About the role

As Office Coordinator, you will be responsible for the day-to-day coordination of office operations, facilities, and administrative support, ensuring a well-organised, efficient, and welcoming environment for both employees and visitors. You will manage relationships with vendors and service providers, oversee supplies and maintenance, and work closely with internal teams such as HR, IT, and Finance.

In addition to core office management responsibilities, this role also includes supporting the company’s Environmental, Social and Governance (ESG) and sustainability efforts. You will act as a local ESG liaison, helping to implement environmentally responsible practices at office level, support on sustainability initiatives, support data collection and reporting for ESG programmes. From reducing resource consumption and managing waste, to facilitating staff engagement in ESG campaigns, your work will directly contribute to the company’s sustainability goals and culture.

What you will do

  • Serve as the point of contact person for office admin duties, for Vilnius and Kaunas offices including:

    • Maintenance

    • Mailing

    • Supplies

    • Non-IT Equipment

    • Administrative duties

  • Organize office procedures

  • Provides support for contract and office vendors, service providers

  • Provides general support to visitors

  • Facilitate the health and safety at work procedures regarding office admin

  • Arrange travel for the team

  • Organize office events

  • Support for the ongoing maintenance of the processes, procedures, relationships and audit requirements relating to ISO 14001 (EMS) certification annually

  • Work closely with local teams (the ESG Working Group) to collect and verify data on carbon emissions internally and from external/3rd party suppliers

  • Support on our annual ESG reports(local)

  • Provide ideas to reduce our carbon footprint and support sustainability, community and social impact initiatives

  • Part of the ISO 27001- regarding office physical security

Requirements

  • Proven experience in office management, administrative coordination, or workplace operations (typically 1,5+ years).

  • Previous exposure to/involvement in sustainability, ESG initiatives, or ISO 14001 practices would be an advantage.

  • Travel to Kaunas office

  • Ability to work independently and experience working in a cross-functional role, interacting with multiple departments and external suppliers.

  • Excellent organisational and time management skills, with strong attention to detail.

  • Strong communication and interpersonal abilities

  • Discretion, tact, independent judgment, flexibility, and accountability

  • Proactive and solutions-oriented mindset

  • Confident using MS Office suite and Google Workspace

  • Excellent knowledge in English. As a UK company all communication is in English

  • Salary range: 1850 - 2100 EUR gross/month (Note: the specific amount will depend on your experience and competencies.)
