What we are looking for :

We’re looking for an organised, proactive and people-focused Office Coordinator to join our team on a 12-month maternity leave contract at our HQ in Scoresby.

This is a varied role that combines office coordination, People & Culture support and assistance to our Managing Director. You’ll help keep our HQ running smoothly while also supporting key HR activities including recruitment, onboarding and employee administration. It’s a great opportunity for someone who enjoys a diverse role and is keen to build or continue developing their experience across both office operations and People & Culture.

Reporting to People & Culture and based at our Scoresby HQ, this is a full-time, 12-month maternity leave contract, with flexible start and finish times to support you and the team.

What the role entails :

  • Answer and manage calls: Handle the main phone line, transfer calls promptly, and take clear, accurate messages for team members.
  • Welcome all visitors: Greet guests at HQ with professionalism and warmth, and notify relevant staff of their arrival.
  • Admin support for leadership: Provide calendar, document, and meeting support for our Managing Directors and the broader Management Team.
  • Plan and run meetings: Schedule and prepare for internal meetings and showroom tours – book rooms, print documents, organise catering, and arrange transport if needed.
  • Celebrate the team: Organise birthdays, farewells, quarterly awards, and Kris Kringle – from gift cards to cakes, you make it memorable.
  • Executive support: Provide high-level administrative support to the Managing Director, including calendar management, meeting coordination and travel arrangements.
  • People and Culture support: Support recruitment and onboarding activities, including shortlisting candidates, phone screening, interview coordination, reference checks, job advertising and welcoming new starters with HQ tours.
  • Showroom Administration Support: Provide operational support to our showrooms, coordinating cleaning, maintenance, trades and services, stocktake, signage and stationery, as well as assisting with new showroom openings to ensure a consistent experience across all locations.
  • Handle maintenance issues: Log and follow up on any building, equipment, or facility issues – liaise with trades and management to get things sorted fast.
  • Book travel: Arrange domestic travel for Management, including flights, accommodation, and itineraries.
  • Stay stocked and sorted: Order office and kitchen supplies, manage stationery levels, and coordinate regular mail-outs and incoming deliveries.
  • General admin: Jump in and help wherever needed – whether it’s a spreadsheet, a quick fix, or something out of the box.
