Executive Summary

The Office Concierge is the welcoming face of our family of companies and serves as a key steward of our culture, hospitality, and workplace experience. This role blends guest-facing responsibilities, including traditional reception services, with a concierge approach toward workplace support. The Office Concierge will bring the same warmth and care to the people who work here every day as they do to our guest experience. The ideal candidate is warm, polished, detail-oriented, and energized by creating exceptional experiences, from a beautifully prepared conference room to a seamless first impression at the door.

The Office Concierge partners closely with the Director of Community Building, the Office Manager, and firm leadership to enhance the office experience through exceptional service and culture-building.

This is a fully onsite position for which the ability to be physically present in our Seattle office Monday through Friday, from 8:00 a.m. to 5:00 p.m., is necessary to perform the essential functions of the job.

Your Role and Responsibilities

Guest Reception & Workplace Hospitality

  • Warmly welcome all guests to the office.
  • Maintain welcome standards that create a polished and memorable guest experience from arrival onward.
  • Responsible for the aesthetic presentation of the welcome area, conference rooms, workplace community, café, and shared spaces, including seasonal and holiday décor.

Workplace & Administrative Support

  • Maintain a tidy, welcoming, and well-functioning workplace by preparing and resetting conference rooms for meetings, ensuring snacks, beverages, and coffee are fresh and well-stocked, and keeping community spaces, including kitchens, counters, refrigerators, and dishwashers organized and clean.
  • Support basic conference room technology and AV needs for meetings, coordinating with IT for more complex issues.
  • Process incoming and outgoing mail, from sending sensitive, high-touch mailings to scanning incoming mail and distributing it electronically.
  • Answer and route incoming phone calls with professionalism and warmth.
  • Partner with the Office Manager to resolve office and facilities issues, occasionally working directly with property management to resolve an urgent issue.
  • Serve as the shared space booking liaison for employees and teams, using the building’s amenities and conference rooms.
  • Plan and manage 1 to 2 weekly catered office lunches, including estimating headcount, selecting and rotating vendors, researching menu options, accommodating dietary restrictions, and handling setup and post-meal cleanup.
  • Order food and catering for meetings, client visits, and office events on an ad hoc basis.
  • Assist with monitoring office and café supplies and notify the Office Manager when replenishment is needed.
  • Print, bind, and ship client and prospect materials for the Client Service team, as needed.
  • Assist with calendar and scheduling requests, as needed.

Culture & Community Building

  • Help cultivate a workplace environment where colleagues feel welcome, valued, and inspired.
  • Assist with events that build and reinforce our employee, client, and professional communities, strengthening culture and connection.
  • Support the new hire welcome experience, including managing welcome gifts and first-day touches, in partnership with the People and Culture department and Office Manager.

Team Participation

  • Contribute to the success of the Administrative & Community Experience (ACE) team, fulfilling ad-hoc administrative requests that support colleagues and clients.

Experience and Attributes

  • 5 or more years of experience in hospitality, guest services, and/or administrative support in a comparable client- or customer-facing environment.
  • Discretion and sound judgment when handling confidential client and colleague information.
  • A collaborative spirit and genuine enthusiasm for building community.
  • A warm and polished presence with a natural instinct for hospitality.
  • Strong organizational skills and the ability to manage multiple priorities with grace.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft 365, including Outlook, Teams, SharePoint, Excel, and Word.
  • The ability to scale your talents to take on new challenges with a positive, helpful attitude, grounded in the belief that no task is too big and no task is too small.

Compensation and Benefits

We provide a competitive salary commensurate with your experience and skills and offer a meaningful annual bonus based on company and individual performance. The anticipated salary range for this Seattle-based position is $65,000 to $72,000. Given the in-office requirement for this position (Monday to Friday, 8 a.m. to 5 p.m.), we also offer paid parking within the building to ease your daily commute, in addition to a pre-paid Orca card. This salary range applies to the current posting and may change in the future based on factors such as education, job-related knowledge, experience, skill set, and location.
