As Office Assistant, you will play a key role in ensuring the efficient administrative, organizational, and procurement support of the team. You will act as a central point of coordination for office operations and support project teams with structured processes, documentation, and day‑to‑day administration.

About the role

  • Serve as the main point of contact for office administration, managing daily operations, visitors, phone coverage, mail, courier services, office supplies, and equipment.
  • Maintain a safe, clean, and efficient office environment by coordinating facilities, vendors, building management, office maintenance, waste management, and HSE compliance.
  • Coordinate meetings, conferences, exhibitions, offsite events, and manage office calendars and meeting logistics.
  • Provide administrative and operational support, including document management, record keeping, purchase orders, invoice tracking, and basic IT support for office equipment and meeting rooms.
  • Manage office-related compliance and external administration, including obtaining official government certificates and acting as the contact for insurance matters.
  • Support business travel by coordinating bookings through the appointed travel agency, preparing travel documentation, and arranging Domestic Travel Accident (DTA) insurance.
  • Facilitate onboarding by coordinating with HR and IT to ensure new employees have the required equipment, system access, and orientation.
  • Provide ad hoc administrative support, including catering arrangements, event coordination, external reservations, and other office-related tasks as required.

Job requirements and exprience

  • Relevant business, commercial or administrative education (e.g. office administration, business administration) or equivalent experience
  • Several years of experience in an office assistant, administrative, or coordination role
  • Experience with procurement processes and purchase order handling and supplier coordination
  • Strong organizational skills with a structured and reliable working approach
  • Confident communication skills and the ability to interact with diverse stakeholders
  • Strong team player and part of the office community
  • Proficiency in MS Office (Outlook, Word, Excel, PowerPoint)
  • Fluency in Japanese and English
