Air General, a third-generation, family-owned, national cargo handling company, is seeking a full-time Office Assistant at our Denver International Airport (DEN) location.
This role is responsible for daily support and administration for the local Operations. The Office Assistant will help manage phone calls and files, prepare regular statistics and freight reports, and coordinate schedules. They will also maintain employee timekeeping and payroll records. A successful candidate will have excellent communication skills and a strong eye for detail.

Job responsibilities:
- Answer and direct phone calls, and serve as a courteous point of contact for customers, vendors, and agencies.
- Perform data entry and maintain databases, files, and records; complete other general office tasks as needed.
- Assist with scheduling, coordinating meetings, and reviewing daily briefings.
- Prepare, compile, and distribute daily, weekly, monthly, quarterly, and annual statistics and freight tonnage reports, liaising with supervisors and managers as needed.
- Administer station supplies and support other record-keeping requirements.
- Maintain and audit timekeeping records for compliance with established standards, partnering with the Home Office payroll specialist on new hire information.
- Perform other administrative duties as directed by the manager.
- Manage the end-to-end airport badging process for new hires, renewals, replacements, and transfers, in strict coordination with Airport Authorities (CBP and local security/badge offices).
- Collect and verify original identity documentation (Social Security card, Driver's License, Passport, Green Card) and submit required custom seals, background check packages, and fingerprints within regulatory timelines.
- Maintain the SIDA Badge Management Log, submit required Quarterly CBP Reports, and process badge deactivations and uniform/badge collection upon employee termination.
- Support new hire onboarding, including Form I-9 completion, airport credentials processing, uniform orders, orientation, and coordination with Human Resources and station management.
- Manage employee separation activities, including required personnel documentation, recovery of airport credentials and company property, and prompt notification to Airport Authorities and station management.
- Track daily flight manifests against monthly schedules, investigate discrepancies, and compile airline cargo handling and special charges (DG, HUM, AVI).
- Calculate, reconcile, and generate monthly airline invoices and tonnage reports, ensuring strict adherence to client deadlines.
- Manage daily payment logs (ISC and Storage), execute bank deposits, and record transactions in NetSuite.
- Handle vendor invoices, approve payment requests through NetSuite, set up new vendors and employees with the Finance Department, and maintain expense and payment audit trails.
- Prepare and process airline sales reports as required by each airline.
Requirements:
- High school diploma or GED required.
- 1-2 years of administrative experience.
- Must be able to obtain a valid airport SIDA badge.
- Must be at least 18 years of age.
- Must have a valid and unexpired US Driver’s license.
- Must be able to lift up to 70 lbs.
- Candidates must possess some intermediate computer skills, particularly in Microsoft Office programs.
- Must be able to clearly understand and communicate in English when performing essential job functions.
- Must be able to pass all pre-employment screenings, background checks, and airport/government security background checks, applicable Custom Security Seal, and post offer drug screens.
- Be available to work varied shifts, including nights, weekends, and holidays.
- Ability to handle stress in a fast-paced, high-noise environment, and meet deadlines.
- Some travel may be required for airline specific training.
