Job Description

The Office Assistant Apprentice assists the Outside Plant Department in organizing and implementing all office functions and requirements. The Office Assistant Apprentice will perform a variety of office functions and tasks to include assisting the outside plant team with daily order and payment processing, clerical duties, assisting department manager with timesheets and uploading reports. The Employee is expected to carry assignments through to completion with necessary guidance and supervision.

Responsibilities

The Employee will:

  • Assist the Outside Plant Department in accomplishing the daily office tasks and responsibilities required for departmental operations.
  • Provide support for the department by filing, answering phones, recording and uploading reports, maintaining proper work logs for staff (employee time sheets)
  • Processing requisitions / work orders necessary for regular department operations via the NAV system. To include: order inventory, quotation & PO management.
  • Perform basic housekeeping duties for the department.
  • Attend and participate in training activities, as assigned.
  • Answers and transfers phone calls, screening when necessary.
  • Maintains filing systems as assigned.
  • Responds to and resolves Office inquiries and questions.
  • Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
  • Maintains office supplies and coordinates maintenance of office equipment for OSP team.
  • Perform other related duties or tasks as assigned or required.

Required Qualifications, Capabilities, And Skills

  • High school diploma or successful completion of the GED program
  • Must be a US citizen or resident alien.
  • Must be at least 18 years of age or older.
  • Must have been a resident of Guam for a period not less than three (3) consecutive years before entry into the program.
  • Mayor’s Verification must be submitted upon hire.
  • Must be able to attend a minimum of two (2) classes per semester as identified by program coordinator, while working forty (40) hours per week with IT&E.

Preferred Qualifications, Capabilities, And Skills

  • Two years of progressive experience in general administration is preferred but not required.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully. The physical activity of this position includes climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling, grasping, feeling, talking, hearing, and repetitive motions.

The physical requirements of this position involve light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.

For visual acuity requirements including color, depth perception and field of vision, the worker is required to have visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication of parts at distances close to the eyes.

Working Conditions

The worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes. The worker is subject to outside environmental conditions: No effective protection from weather. The worker is subject to both environmental conditions: Activities occur inside and outside. The worker is subject to extreme cold: Temperatures typically below 32 degrees for periods of more than one hour. Consideration should be given to the effect of other environmental conditions such as wind and humidity. The worker is subject to noise: There is sufficient noise to cause the worker to shout in order to be heard above the ambient noise level.
